Description

 Position Summary: The Salesforce Data Management Specialist is responsible for cleaning, organizing, importing, exporting, validating, and maintaining data in Salesforce and related systems. This role helps ensure Salesforce records are accurate, complete, consistent, and ready for program operations, case management, reporting, and leadership decision-making. The Specialist may use approved AI tools, AI agents, automation tools, spreadsheets, and data systems to support data preparation and quality control while following Xiente confidentiality, privacy, and data security standards.


Primary Responsibilities/ Tasks:

  • Clean, organize, import, export, and maintain data in Salesforce and related approved systems.
  • Prepare Salesforce import files using correct templates, field formats, record IDs, picklist values, and object relationships.
  • Use Salesforce reports, list views, Data Import Wizard, Data Loader, or other approved tools to manage data.
  • Confirm that imported data appears correctly in Salesforce and reconcile source files against Salesforce records.
  • Review data for duplicates, missing fields, inconsistent values, incorrect formatting, and other data quality issues.
  • Support data migration, data conversion, and cleanup projects from spreadsheets, forms, legacy systems, and other sources.
  • Create and update basic Salesforce reports, dashboards, list views, tracking logs, and management summaries as assigned.
  • Document import results, errors, corrections, procedures, and recurring data quality issues.
  • Use approved AI and automation tools responsibly to improve data cleaning, validation, documentation, and workflow efficiency.
  • Communicate data issues clearly with IT, program, operations, and leadership teams; perform other duties as assigned.

  • Hands-on experience with Salesforce records, objects, fields, reports, list views, imports, exports, and data quality review.
  • Proficiency with Microsoft Excel or Google Sheets; ability to clean, compare, validate, and reconcile large data sets.
  • Ability to manage confidential information and follow data privacy, security, and governance standards.

Preferred Qualifications:

  • Salesforce Administrator certification or Trailhead training preferred.
  • Experience with Salesforce Data Import Wizard, Data Loader, duplicate management, validation rules, dashboards, or Nonprofit Cloud/NPSP preferred.
  • Experience with data migration, data conversion, data profiling, Power Query, Power BI, Tableau, SQL, Jotform, FormAssembly, or approved AI/automation tools preferred.
  • Nonprofit, human services, education, workforce, housing, or community-based experience preferred; bilingual English/Spanish preferred.

Skills:

  • Strong attention to detail, problem-solving, organization, documentation, and follow-through.
  • Ability to understand how Salesforce stores and connects data across records, fields, and related objects.
  • Ability to explain data issues clearly, support staff, and escalate complex Salesforce issues when needed.

Physical Demands:

  • Ability to sit, stand, use a computer, communicate, and perform standard office tasks for extended periods.
  • Ability to lift or move up to 10 pounds occasionally. Reasonable accommodations may be made as required.
