About the Role

We are looking for a motivated, organized, and detail-oriented Customer Service & Business Operations Intern to join our team on a part-time basis.This position is ideal for a recent high school graduate who is preparing to begin college and is looking to gain practical, hands-on experience in a professional business environment.

The intern's primary role will be to support the Customer Service team with administrative, data-management, and organizational projects. A major focus will be helping us improve the organization and accuracy of our customer sales order files, ERP data, and SharePoint records.


Because this is a collaborative organization, the intern may also have the opportunity to assist other departments with special projects and administrative needs. Projects may vary depending on business priorities and may provide exposure to different areas of the company.


This is a great opportunity for someone who is curious about how businesses operate, enjoys working with technology and information, and wants exposure to multiple areas of a company before beginning college.


What You'll Work On

Customer Service & Sales Order Administration

  • Review, organize, and maintain customer sales order files housed in SharePoint.
  • Identify duplicate customer and sales order folders and consolidate files when appropriate.
  • Ensure customer and order folders follow established naming conventions.
  • Standardize customer names so they are consistent between our Fishbowl ERP system and SharePoint.
  • Review sales order files for naming accuracy, data completeness, and consistent organization.
  • Ensure relevant order documentation is saved in the appropriate customer/order folder.
  • Review shipping documentation and ensure relevant documents are properly filed within the appropriate shipping subfolders.
  • Identify missing, incorrectly filed, or duplicated documents and bring them to the attention of the Customer Service team.
  • Help maintain a consistent folder structure and filing process across customer sales orders.
  • Assist with routine customer service administrative and data-entry tasks as needed.

ERP & SharePoint Data Management

  • Identify duplicate records, inconsistent naming, missing information, and other data discrepancies.
  • Assist with data cleanup and standardization under the direction of the Customer Service team.
  • Maintain spreadsheets or tracking reports to document cleanup progress.
  • Help identify recurring data-quality or filing issues.
  • Assist with maintaining accurate customer and order information after the initial cleanup project is completed.

Strategic Customer Support

  • Assist with data entry and information maintenance on a Monday.com board for one of the company's strategic customers.
  • Enter and update information accurately based on information provided by the Customer Service Director.
  • Help keep customer-related information organized and up to date.
  • Flag missing or unclear information rather than making assumptions.

Cross-Functional Business Projects

Potential projects may include:

  • Data entry and data cleanup
  • Spreadsheet organization and maintenance
  • Research and information gathering
  • Document organization and digitization
  • Creating or updating internal reports
  • Assisting with process documentation and SOPs
  • Supporting Sales, Operations, Finance, Marketing, or other departments with administrative projects
  • Assisting with other short-term projects where additional organizational or administrative support is needed

The specific projects assigned will vary based on current business priorities and the intern's skills and interests.
