Air Ocean Import Export Operations Coordinator

Job Details:

One Circle Logistics is seeking a motivated and detail-oriented Import/Export Operations Coordinator, strong in both ocean and air shipments to join our growing team in Chicago, Illinois

The successful candidate will be responsible for managing all modes of shipments including international air and ocean export shipments from start to finish while providing excellent customer service and ensuring compliance with all airline, TSA, customs, and international shipping requirements.

Key Responsibilities:

  • Coordinate and manage international air export shipments from booking through final delivery.
  • Prepare and review shipping documents including MAWB, HAWB, commercial invoices, packing lists, AES filings, and other export documentation.
  • Arrange bookings with airlines and overseas agents.
  • Communicate with customers, overseas offices, airlines, trucking companies, and vendors regarding shipment status.
  • Monitor shipment milestones and provide timely updates to customers.
  • Ensure all shipments comply with U.S. export regulations and customer requirements.
  • Coordinate pickups and deliveries with trucking companies.
  • Resolve shipment issues and provide proactive solutions.
  • Maintain accurate shipment records and update operating systems.
  • Work closely with the sales and accounting teams to ensure smooth shipment processing and customer satisfaction.
  • Support additional operational duties as assigned.

Qualifications:

  • Minimum 2 years of experience in international air/ocean import/export freight forwarding.
  • Knowledge of air export documentation and international shipping procedures.
  • Experience with freight forwarding software is preferred.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to work in a fast-paced environment and manage multiple shipments simultaneously.
  • Strong attention to detail and problem-solving abilities.
  • Proficient in Microsoft Office, including Outlook, Excel, and Word.
  • Ability to work independently as well as part of a team.
  • Customer service focused with a positive and professional attitude.
  • Vietnamese speaking is a plus but not required.
