Job description

Hours: 10:00 AM – 7:30 PM (or until dispatching is finished) – Must have flexibility with overtime and work extended hours based on operational needs.
Job Summary:

We are seeking a full-time, highly motivated, solution-focused Lead Dispatcher with a positive attitude and strong leadership skills to join our team. The selected candidate is required to have experience with Maven Machines (or comparable last-mile routing software) and will be responsible for overseeing transportation operations in Metro New York and New Jersey. Key responsibilities include routing, dispatching, and training and developing new driver hires.

 

Key Responsibilities:

Routing & Planning

  • Analyze and optimize dynamic and standard routes for efficiency.
  • Review and incorporate driver feedback to improve routing and sequencing.
  • Make routing decisions in the absence of dedicated routers.
  • Maintain and update Maven to ensure accurate route planning.

Dispatch Operations

  • Plan and coordinate delivery routes, ensuring timely and cost-effective service.
  • Dispatch owner-operators and drivers, ensuring all assets are utilized efficiently.
  • Monitor and adjust routes based on logistics schedules and customer requirements.
  • Ensure all pickups and deliveries adhere to assigned schedules.
  • Communicate with customers and management regarding delivery updates and route changes.
  • Track and report on service metrics, including delays and time window adherence.
  • Quickly resolve delivery issues encountered by drivers.
  • Update and maintain driver assignments, departure times, and completion statuses.
  • Manage callouts, schedule changes, and alternate delivery solutions.
  • Report accidents, breakdowns, and incidents to the appropriate teams.
  • Train drivers on Maven Machines use and troubleshoot any technical issues.
  • Monitor truck temperatures in Samsara, report any issues to management, and maintain records of temperature-related concerns.
  • Make real-time operational decisions regarding routing and redeliveries.
  • Support onboarding and ongoing performance coaching of drivers.
  • Ensure accuracy of deliveries and proper handling of documentation (PODs).

 

Compliance & Performance Management

  • Coach drivers and helpers to ensure adherence to company policies and performance standards.
  • Address policy violations by owner-operators, issuing warnings and escalating issues as needed.
  • Identify and recommend improvements to departmental policies and procedures.
  • Ensure continuous communication with customers and vendors regarding services and scheduling.
  • Maintain accurate records of driver performance, incidents, and service quality.

Administrative & Other Duties

  • Schedule and manage delivery appointments.
  • Prepare daily and weekly reports summarizing route performance and service metrics.
  • Assist with documentation, reporting, and compliance requirements.
  • Perform other related duties as assigned.

Required Qualifications & Skills

  • Proficiency in Maven (or comparable last-mile routing software).
  • Familiarity with Metro NY/NJ (Tri-State Area) and ability to read maps, including East Coast states.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Detail-oriented with strong problem-solving and follow-up abilities.
  • Ability to meet deadlines and handle a high-volume workload.
  • Competency in Microsoft Office Suite (Excel, Word, Outlook, etc.).
  • Fluent in English; Spanish proficiency is a plus.
