About Coastal Engineering
Coastal Engineering is a specialized VOSB marine construction firm delivering complex, high-quality waterfront and underwater infrastructure projects along the East Coast. We are driven by a commitment to innovation, safety, sustainability, and executional excellence.
Coastal Engineering is seeking a detail-oriented Proposal Assistant to provide administrative and coordination support throughout the proposal process. This position will support proposal activities across all Coastal Engineering divisions.
This position will work closely with the Proposal Coordinator and other members of the team to help prepare organized, accurate, and professional submissions. The Proposal Assistant will support document preparation, maintain proposal resources, track deadlines, and help ensure all submission requirements are completed on time.
The ideal candidate is highly organized, comfortable managing multiple priorities, and able to produce polished work in a deadline-driven environment. This is an excellent opportunity for someone interested in developing a career in proposals, marketing, or business development within the engineering and construction industry.
Requirements
• Provide administrative support throughout the proposal development and submission process
• Format, proofread, edit, and assemble proposal documents
• Review solicitation requirements and assist with proposal compliance
• Maintain proposal templates, employee resumes, project sheets, and other supporting materials
• Track RFP deadlines, questions, addenda, and submission requirements
• Coordinate internal proposal review meetings and follow up on outstanding information
• Collect required content and documentation from internal team members
• Assist with preparing letters, forms, qualifications packages, and supporting attachments
• Maintain organized electronic proposal and opportunity files
• Assist with Unanet CRM and opportunity updates
• Support final proposal production and electronic submissions
• Provide additional administrative support to the proposal and business development team as needed
Qualifications
• Associate's degree in Business, Communications, Marketing, or a related field; bachelor's degree preferred
• 0-2 years of experience in proposals, marketing, administrative support, or a related role
• Strong writing, proofreading, formatting, and organizational skills
• Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook
• Ability to manage multiple assignments and deadlines in a fast-paced environment
• Strong attention to detail and commitment to producing accurate, professional work
• Ability to communicate effectively and coordinate with employees across multiple departments
• Ability to work independently while also contributing to a collaborative team environment
• Familiarity with construction, engineering, government contracting, or RFP terminology preferred
• Experience with Unanet CRM or similar proposal and opportunity-management software is a plus
