Job Title: RFP (Request for Proposal) Coordinator

We are seeking a highly organized and detail-oriented RFP Coordinator to support government proposal development, contract administration, and quotation activities. This role works closely with sales, engineering, operations, finance, and vendor partners to ensure the timely delivery of accurate and compliant proposal responses.

Position Summary

The RFP Coordinator will serve as the primary internal administrator for GST's NASA SEWP VI contract vehicle while supporting proposal development, quotation management, contract administration, and customer response activities. The ideal candidate has strong organizational skills, exceptional attention to detail, and the ability to manage multiple deadlines in a fast-paced environment.

Job Duties & Responsibilities

  • Serve as the internal owner and administrator of GST's NASA SEWP VI contract vehicle.
  • Manage the preparation, review, and submission of RFPs, RFQs, bids, and customer quotations.
  • Review solicitation requirements and ensure proposals are accurate, complete, and compliant with customer specifications.
  • Coordinate pricing with manufacturers, distributors, and vendor partners.
  • Request, evaluate, and validate vendor quotes, pricing, product availability, and lead times.
  • Prepare accurate customer quotations while ensuring margin and pricing requirements are met.
  • Monitor NASA SEWP and other contract portals for opportunities, updates, and communications.
  • Collaborate with sales, engineering, finance, legal, operations, and vendor teams to gather content and documentation required for proposal submissions.
  • Proofread and review proposals for accuracy, consistency, formatting, branding, and compliance.
  • Support contract administration activities, including customer agreements, subcontract agreements, insurance requirements, bonding requirements, and other contract-related documentation.
  • Track contract statuses, milestones, and key deadlines, communicating updates to internal stakeholders as needed.
  • Maintain organized records of proposals, contracts, and quotations.
  • Provide general sales support and perform other administrative duties as assigned.

Qualifications

  • Minimum 3 years of experience in proposal coordination, contracts administration, inside sales, government contracting, or a related role.
  • Strong organizational, analytical, and time-management skills, with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and ability to maintain accuracy under tight deadlines.
  • Proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, and Adobe Acrobat.
  • Experience working with OEMs, distributors, and vendor pricing programs.
  • Strong customer service mindset and ability to work collaboratively across departments.
  • Ability to work independently while maintaining accountability and meeting deadlines.

Preferred Qualifications

  • Experience supporting NASA SEWP, GWAC, GSA Schedule, or other federal contract vehicles.
  • Government contracting and public sector procurement experience.
  • Experience with CRM systems, preferably Salesforce.
  • Experience with ERP systems.
  • Knowledge of IT hardware, software, cloud, cybersecurity, networking, or audiovisual (AV) solutions.
  • Familiarity with FAR/DFARS requirements and federal procurement processes.
