Accountant & Business Operations Coordinator (Hybrid)

We are seeking an experiencedAccountant & Business Operations Coordinator who enjoys both financial management and operational support. This position combines traditional accounting responsibilities with office administration, process management, vendor coordination, and multi-unit hospitality operations.

This is a hybrid role that offers remote flexibility while requiring regular onsite visits to multiple locations throughout Colorado Springs. Candidates must be local and willing to travel between properties as needed.

Position Summary

The Bookkeeper / Accountant & Business Operations Coordinator will be responsible for maintaining accurate financial records across six hospitality entities while supporting day-to-day administrative and operational functions.

The ideal candidate is highly organized, detail-oriented, comfortable working independently, and capable of managing multiple priorities in a dynamic hospitality environment.

Experience with Restaurant Systems Pro (RSP), QuickBooks, restaurant accounting, accounts payable, inventory management, and multi-unit operations is strongly preferred.

Key Responsibilities

Financial Oversight

  • Reconcile accounts across six operating entities using Restaurant Systems Pro (RSP)
  • Prepare and distribute financial reports, including:
    • Profit and loss statements
    • Cost of goods sold (COGS) reports
    • Payroll summaries
    • Inventory reports
  • Review daily sales, deposits, and cash reconciliation reports
  • Manage accounts payable and accounts receivable processes
  • Standardize and maintain vendor payments using Melio
  • Assist with cash flow management and forecasting
  • Develop and maintain budgets within Restaurant Systems Pro
  • Analyze operational data to identify cost-saving opportunities
  • Review inventory reports to ensure accuracy and compliance with company standards

Operations & Administrative Support

  • Review and organize managers' daily paperwork and operational reports
  • Track and follow up on outstanding documentation from management teams
  • Coordinate bank deposits, occasional bank runs, and check pick-up and delivery
  • Manage incoming mail and company correspondence
  • Assist with office organization and administrative workflows
  • Support company-wide meetings, training sessions, and team events
  • Provide administrative support to ownership and operations leadership as needed

Office & Vendor Management

  • Serve as the primary point of contact for vendors, contractors, and accounting-related inquiries
  • Maintain vendor files, contracts, and payment records
  • Build strong relationships with location managers across all concepts
  • Provide coaching and ongoing support related to accounting systems, reporting procedures, and administrative processes
  • Maintain business licenses, permits, insurance policies, and renewal schedules

Project Management

  • Assist with new restaurant and venue openings
  • Coordinate software implementation and system setup for new locations
  • Support payroll setup, operational workflows, and administrative onboarding
  • Collaborate with vendors to ensure smooth implementation of new processes and systems

Compliance & Reporting

  • Prepare and file monthly sales tax reports
  • Coordinate annual 1099 preparation and W-2 distribution
  • Maintain organized financial records for tax preparation and audits
  • Ensure compliance with federal, state, and local labor regulations
  • Assist with internal policy documentation and procedural updates

Qualifications

Required:

  • 3+ years of bookkeeping, accounting, or financial administration experience
  • Experience with accounts payable, bank reconciliations, and financial reporting
  • Strong organizational and time management skills
  • Proficiency in Microsoft Excel and Google Workspace
  • Ability to manage multiple entities and competing priorities
  • Reliable transportation and the ability to travel between Colorado Springs locations

Preferred:

  • Restaurant, hospitality, or multi-unit accounting experience
  • Experience with Restaurant Systems Pro (RSP)
  • Experience with Melio
  • Experience with QuickBooks
  • Knowledge of inventory management and cost controls
  • Experience with payroll reporting and sales tax preparation
