Job description

Altaire (LCOR) is seeking a Resident Services Coordinator. The Coordinator will report to the Community Manager and will be responsible for managing lease aspects like screening applications, resident retention, rent collections and ensuring lease compliance. Our dedicated team works to provide exceptional customer service to all prospects and residents. We are looking for an exceptional Coordinator with a passion for sales, marketing, and who has great communication skills. The ideal candidate will demonstrate strong organizational skills, remarkable follow up with prospects, and is a team player.

Responsibilities:

  • Maintain excellent customer service standards.
  • Assist residents with lease compliance issues (e.g. late rental payments, notice of expiring leases).
  • Review completed applications to ensure the information is accurate and all required signatures are present.
  • Follow established policy and procedures in the qualification, screening, and acceptance of applications for residency.
  • Ensure all necessary paperwork is collected to process applications.
  • Verify applications, prepare resident files and all related paperwork.
  • Organizes and files appropriate reports, leases and paperwork timely and accurately.
  • Audit recorded leases for company compliance.
  • Manage, coordinate and maintain regular contact with residents (at each designated development) primarily through face-to-face meetings, and /or phone contact specific to each individual/family needs.
  • Establish partnerships and relationships with service providers and community resource agencies.
  • Conduct program outreach and assist Community Manager with new strategies for resident retention and engagement.
  • Create monthly/quarterly calendar of events as well as produce outreach flyers and newsletters.
  • Provide information to residents regarding community resources.
  • Conduct mediation/conflict resolutions, as needed, with residents and management.
  • Maintain and update service reports, containing resident and family survey information.
  • Understand, promote, and project the corporate mission while performing the above-mentioned tasks and responsibilities.
  • Participate in additional and/or special projects as required from time to time by management.
  • Assists with delivery of resident notices and leases as needed.
  • Comply with Fair Housing and ADA regulations.
  • Maintain an organized and presentable work area at all times. Available to work evenings and weekends as needed.
  • Other duties as assigned.

Qualifications:

  • Bachelor’s Degree highly desired or minimum 3 years’ experience working as an administrative assistant or lease administrator, preferably experience with apartment lease documents.
  • Intermediate skill level in Microsoft Excel, Outlook and Word.
  • Familiarity with Yardi, CRM, LRO is a plus.
  • Ability to prioritize and interpret lease documents.
  • Detail-oriented and possess analytical thinking skills.
  • Must be able to work well with all levels of management and staff as well as outside clients.
  • Possess good organization, communication, and follow-up skills.
  • Must thrive in a fast-paced environment with competing priorities.
  • Be tactful and diplomatic through accurate verbal, written, and interpersonal skills.
  • Be mature, flexible, dependable, and professional.
  • Ability to work independently yet also thrive in a team.
