Position Summary

The Maintenance Coordinator provides operational and administrative support to the General or Property Manager and Maintenance Lead(s) for assigned communities; coordinates, enhances and maintains positive resident relations with primary focus on maintenance support; coordinates oversight of building operations, including ordering supplies, walking units, scheduling apartment turnover, assigning and managing turnover contractors; monitors workorder system to ensure customer satisfaction; monitors regulatory compliance and company policies and procedures related to property management.

Essential Job Functions

  • Enhance Resident Relations: Fosters good tenant relations by managing requests/complaints. Receives tenant services requests and takes appropriate action to resolve issues. Manage resident service using property management systems, directing inquiries as required to the appropriate building operations departments.

  • Order supplies as directed by Maintenance Lead(s).

  • Schedule external vendors as directed by Maintenance Leads(s).

  • Take a leading role in the facilitation of apartment turnover scheduling with both internal staff and external vendors.

  • Manage vendors and vendor logs such as pest control log.

  • Maintain a working knowledge of all maintenance programs to ensure the proper and efficient operation of systems, preventive maintenance programs, housekeeping functions, and responses to resident maintenance requests. Prepares service orders when residents call and distributes to appropriate associates for completion. Follows up on forwarded maintenance requests and makes sure that all residents are notified if there must be a delay. Ensures completion of resident service requests.

  • Maintain working knowledge of leasing policies and procedures and performs functions related to lease renewal on occasion as needed. Ensures effective and appropriate implementation in accordance with Corporate Office and Fair Housing policies and procedures. Makes follow-up calls, sends follow-up literature, and pursues rental status.

  • Conduct move-in and move-out inspections of apartments to determine applicable charges for damages. Conducts inspections to determine market readiness and implements high quality standards of cleanliness and aesthetic appearance. May perform interim unit inspections.

  • May prepare purchase orders, code and assist with process vendor invoices for payment, send documentation to Corporate Office and follow up on vendor payment inquiries.

  • Complete all other tasks and duties assigned by manager.

  • Adhere to and support Brookfield Properties Multifamily' s Policies, Mission, Vision, Values, and Safety Standards.

Education

A High School Diploma/GED is required. Additional education and training preferred.

Requirements

  • Computer and smart phone literacy required. Must be able to communicate clearly and effectively in English, both verbally and in writing, for all work-related responsibilities. Multilingual skills are a plus.

  • Additional degrees that are preferred for this position include: Associate degree

  • 1-2 years of related administrative experience in Leasing, Bookkeeping, or Operations.

  • This position may require a valid driver's license depending on the needs of the property.

  • Required skills for this position include fair housing laws, property management, and Microsoft Office.

  • Preferred skills for this position include One-Site, customer service, following through, and personal accountability.

  • Oral Communication - Speaks clearly and effectively in positive or negative situations; listens and gets clarification; responds well to questions.

  • Ethics - Treats people with respect; keeps commitments; inspires the trust of others; works with integrity and ethically; upholds organizational values.

Compensation

Commensurate with Experience

$ 20.75 - 29.05 hourly
