Job description

Admissions Coordinator

Schedule: to be determined by the department head.
Location: Remote (Must reside in Arkansas, Ohio or Texas)
Compensation: Dependent on experience $16-22 + Full Benefits Package


Nova Recovery is seeking a skilled and compassionate Admissions Coordinator to support clients and their families through one of the most important moments in their recovery journey. This position plays a key role in facilitating the admissions process — from the first inquiry to coordination of care — all with professionalism, empathy, and efficiency.


Summary/Objective:

The Admissions Coordinator is responsible for providing excellent customer service to clients, their families, and referral sources. They receive and process inquiry calls and emails, accurately qualify prospective clients for admission by gathering all necessary clinical, medical, and insurance information, and coordinate the next steps with internal departments. When an individual is not fit for services at Nova Recovery LLC or Eudaimonia, the Coordinator assists in locating alternative treatment options and ensures proper follow-up.


Key Responsibilities:

Inquiry + Admissions Coordination

  • Respond promptly and professionally to phone and email inquiries.

  • Ask appropriate screening questions to gather comprehensive intake data.

  • Accurately input and update inquiry and admission information.

  • Coordinate with clinical and operational teams to present complete information for admission decisions.

  • Work with referral sources to gather assessments or documentation as needed.

  • Ensure referral source details are recorded and routed to appropriate business development representatives.

Follow-Up + Communication

  • Conduct timely follow-up with prospective clients via phone, email, or mailed correspondence.

  • Log and monitor follow-ups in BestNotes, Lightning Step and Pipedrive to ensure no leads are lost.

  • Maintain communication with the admissions and clinical teams to relay client status.

Customer Service + Representation

  • Demonstrate a professional and compassionate approach with all clients, families, and stakeholders.

  • Educate clients and families on the programs and services offered.

  • Coordinate client transportation logistics when applicable.

  • Provide virtual tours or guidance when in-person visits are requested.

  • Uphold the image of Nova Recovery Center and Eudaimonia Recovery Homes with tact and professionalism.


Job Requirements:

  • Strong communication and customer service skills.

  • Proficient in Pipedrive, Lightning Step.

  • Must be able to read and interpret a benefit verification and generate accurate client quotes.

  • Prior experience in healthcare admissions, behavioral health, or a related field highly preferred.

  • Ability to multitask in a fast-paced, remote environment while maintaining attention to detail.

  • Technically savvy and comfortable troubleshooting basic internet and computer issues.

  • Must reside in Arkansas, Ohio or Texas and have a reliable high-speed internet connection and backup (e.g., hotspot).


Work Environment + Physical Demands:

  • Fully remote role – must work from within the states of Arkansas, Ohio or Texas.

  • Standard office equipment used regularly: phone, computer, and web-based platforms.

  • Long periods of sitting and computer work; occasional light lifting (up to 10 lbs).
