Position Summary
We are seeking a motivated, detail-oriented, and technology-savvy Part-Time Operations Intern to support our Operations team. This role provides hands-on experience across business operations, employee communications, marketing, process improvement, information technology, and responsible AI initiatives. The ideal candidate is organized, creative, proactive, and eager to learn how operational excellence and innovation drive business success.
This position is ideal for a student or recent graduate interested in business operations, marketing, communications, information systems, artificial intelligence, or organizational development.
Key Responsibilities
Employee Communications
  • Draft and distribute internal communications, company announcements, newsletters, and employee updates.
  • Assist in creating presentations, training materials, and internal documentation.
  • Support employee engagement initiatives and company events.
  • Maintain and organize internal knowledge bases and shared resources.

Marketing, Social Media & Events
  • Assist with creating and scheduling content for the company's social media channels.
  • Develop graphics, presentations, marketing collateral, and other branded content.
  • Support website updates, blog posts, email marketing campaigns, and digital communications.
  • Monitor social media engagement and compile performance metrics and analytics.
  • Research industry trends, competitor activities, and emerging technologies to support marketing initiatives.
  • Assist with the planning, coordination, promotion, and execution of events, particularly GovCX Collective events. Responsibilities include developing promotional materials, coordinating logistics, managing registrations, supporting event communications, and capturing post-event metrics and lessons learned.
  • Support the coordination of additional company webinars, conferences, trade shows, and marketing events.

Process Improvement
  • Document existing business processes and identify opportunities to improve efficiency.
  • Assist with workflow mapping and the development of Standard Operating Procedures (SOPs).
  • Collect and analyze operational data to support continuous improvement initiatives.
  • Participate in cross-functional projects focused on operational excellence, automation, and operational scalability.
  • Identify opportunities to leverage technology and AI to improve internal workflows.

Internal IT Operations
  • Assist with employee onboarding and offboarding activities.
  • Help maintain IT asset inventories and technology documentation.
  • Coordinate with internal teams to track and resolve technology requests.

AI Innovation & Governance
  • Research emerging AI tools and evaluate their potential business applications.
  • Assist in developing and maintaining internal AI usage guidelines, governance documentation, and best practices.
  • Support the responsible adoption of AI technologies by documenting approved tools, use cases, and policies.
  • Help create employee training materials focused on effective, secure, and responsible AI usage.
  • Assist with monitoring AI-related policies, compliance requirements, and organizational standards.
  • Explore opportunities to automate routine business processes using approved AI and workflow automation platforms.

General Operations Support
  • Coordinate administrative and operational tasks across departments.
  • Track project milestones, deliverables, and action items.
  • Conduct research and prepare reports to support operational initiatives.
  • Assist with special projects and strategic initiatives as assigned.

Qualifications
Required
  • Currently pursuing or recently completed a degree in Business Administration, Marketing, Communications, Information Systems, Computer Science, or a related field.
  • Strong written, verbal, and interpersonal communication skills.
  • Excellent organizational and time management skills with exceptional attention to detail.
  • Proficiency with Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Familiarity with major social media platforms and digital communication tools.
  • Demonstrated interest in AI technologies, business operations, and digital transformation.
  • Ability to manage multiple priorities while working independently and collaboratively.

Preferred
  • Experience with Canva, Adobe Creative Suite, or similar design tools.
  • Experience with SharePoint, Power Automate, Jira, or other workflow and project management tools.
  • Familiarity with social media management and analytics platforms.
  • Knowledge of process improvement methodologies or workflow documentation.
  • Experience using generative AI tools in an academic or professional setting.
  • Ability to work in a hybrid environment with availability to report onsite in the Washington, DC metropolitan area for team meetings, company events, customer engagements, and GovCX Collective activities as needed.
