We are seeking a proactive and detail-oriented Operations Assistant to join our dynamic team. In this vital role, you will support daily office functions, streamline administrative processes, and ensure smooth communication across departments. Duties

  • Operate multi-line phone systems, handle incoming calls, and relay messages promptly and accurately
  • Maintain organized filing systems, including document scanning, data entry, and record keeping of confidential information
  • Support office management activities such as supply ordering, calendar coordination, and appointment scheduling
  • Provide excellent customer service by addressing client inquiries and supporting client communication efforts
  • Perform clerical duties such as proofreading documents, preparing reports, and managing correspondence to ensure accuracy and clarity
  • · Prepare (print and compile) select field material.
  • SDS support – data entry, print and assemble binders.
  • Prepare shipments for couriers.
  • Maintenance of office equipment (including but not limited to communicating with vendors for troubleshooting, parts & services, supply inventory).
  • Assist with lite marketing, and research OSHA citations maintaining an on-going record of communications.
  • Maintain a clean and organized office environment and entryways.
  • Performs other related duties as assigned by company Director, Business Manager.
  • Assist with task management in Asana platform.
  • Review client documentation for task identification.
  • Assist with uploading and document processing in Zoho client database.
  • Updating document templates for new clients.


Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy in general
  • Experience with Asana or similar project management software is highly desirable
  • Excellent phone communication skills with professional phone etiquette and the ability to handle multiple lines efficiently
  • Demonstrated ability to handle confidential information responsibly with integrity
  • Strong typing skills for data entry and document preparation along with proofreading capabilities
  • Ability to manage time effectively in a fast-paced environment while maintaining accuracy
  • Discernment for task priorities in an environment where multiple projects are going on
  • Prior experience in administrative support or personal assistant roles is required
