About this Job Division: Within the Education Department at ELMHS, Located in Jackson, LA The Mission of ELMHS is to provide mental health evaluation, treatment, habilitation, and consultation for adults. Programs include inpatient interventions, jail-based evaluations, supervised group home and residential programs, forensic evaluation, care, custody, and aftercare; intermediate and long-term psychiatric services are coordinated with the total system of care in Louisiana ELMHS is looking for a motivated, detail-oriented, and positive individual to join our team as an Administrative Assistant 4. The selected candidate for this role will provide administrative and educational support by coordinating documents and reports, performing clerical tasks, tracking hospital expansion needs and progress, assisting with meetings and scheduling, maintaining records, supporting staff training activities, and providing technical assistance to computer lab users and web-based learners.

THE IDEAL CANDIDATE SHOULD POSSESS THE FOLLOWING COMPETENCIES: Accepting Direction: The ability to be open and willing to follow guidance or instructions. Communicating Effectively: The ability to convey information, ideas, and emotions using structured communication methods that promote understanding and engagement. Demonstrating Accountability: The ability to take ownership of actions, behaviors, performance, decisions, and outcomes.

Acting with Ethics and Integrity: The ability to make choices that reflect ethical standards, integrity and honesty, regardless of circumstances or personal benefit. Displaying Professionalism: The ability to uphold workplace standards through consistent conduct, responsible communication, and consideration for others. Using Data: The ability to collect, analyze, and use data to generate insights and inform decisions.

Minimum Qualifications Three years of experience in administrative services. EXPERIENCE SUBSTITUTION: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. Job Duties and Other Information Job Duties: In this role, you will: Work closely with the Training Developmental Program Staff Manager 1 (Education Director) in creating and reviewing documents, meeting minutes, reports, forms, records and/or other materials related to the hospital expansion for content, completeness, accuracy, and submission to the ELMHS Administration Department. Perform clerical duties such as making copies, filing, scanning, processing paperwork, and researching documents. Proficient in Microsoft Office applications, specifically composing letters in Microsoft Word and creating spreadsheets/reports in Microsoft Excel.

Assist in Tracking, monitoring and documenting progress and needs for the hospital. Communicate with other departments and participates in meetings with Director. Prepares materials needed for meetings, such as agendas, handouts, binders, etc.

Provide assistance to ELMHS staff for scheduling classes and retrieving requested Education documentation. Monitor computer lab; providing technical assistance and supporting web-based learners by answering common questions such as how to locate courses and verifying completion of courses. Position-Specific Details: Appointment Type: Probational or Promotional Work Schedule: 8 Hr.
