Research Administrative Assistant


Venesco, LLC is looking for a Research Administrative Assistant to support the Naval Health Research Center in San Diego, CA.Β 

The Research Administrative Assistant will be primarily responsible for providing administrative support and administrative functions including, but not limited to, calendar management, updating standard operating procedures (SOPs) and guides, taking meeting minutes, distributing after-action reports, and maintaining trackers. This role requires excellent organizational skills, attention to detail, time management, and the ability to prioritize tasks effectively.


This full-time position is based onsite with an approved telework agreement in place, allowing for hybrid work. Work hours to coincide with the standard command business hours of 0700-1630. The current requirement is minimum 3 days at the customer site per week, days of the week may vary. Please note, the telework agreement and ability to work remotely are subject to change based on organizational needs and policies.


Qualified applicants must be US Citizens and hold or be eligible for a Secret Clearance.


Primary Responsibilities:


  • Perform a broad range of administrative duties including scheduling and coordinating in-person and virtual meetings, drafting meeting agendas, taking minutes, and distributing after-action reportsΒ 
  • Manage calendars and maintain action item tracker for senior leadership
  • Effectively communicate with internal and external teams to help facilitate the implementation of new or changing policies and processes
  • Support team on collaborative projects, department meetings, and command events
  • Review and recommend improvements to existing SOPs, instructions, and guides
  • Perform support functions such as compiling reports and metrics, setting up weekly and monthly meetings, and submitting forms through electronic approval routing systems
  • Maintain science investigator guidelines, product lists, and technology transfer regulations. Adhere to the command authored works review and agreements approval process.

Requirements

Basic Qualifications

  • Minimum of a bachelor's degree in health promotion, public health, psychology, or a health-related field
  • Experience preparing and reviewing both technical and scientific documents
  • c. Ability to manage concurrent tasks; able to complete assignments quickly without sacrificing accuracy and attention to detail; self-starter and motivated; and adept at working in a highly customer-oriented and professional environment
  • Proficiency in Microsoft 365, Word, Excel, PowerPoint, Outlook and Adobe Acrobat; experience in virtual meeting platforms such as MS Teams and Zoom


Desired QualificationsΒ 

  • Working knowledge of Navy medical R&D activities and the government and military in general.
  • Previous or current clearance or history of a completed government background check.
