About the Role
Reporting to the Senior Director Product Operations & Solutions and partnering closely with Product Managers, Engineering, customers, and cross-functional stakeholders, the Product Operations Specialist will help drive operational excellence across the product organization. This role is responsible for maintaining product processes and tooling, coordinating planning activities, tracking delivery progress, change management, and generating insights that enable effective decision-making.
As a key member of the Product Operations team, you will work directly with product management, engineering, customer success, training and customers to understand, prioritize, and operationalize enhancement requests and product needs. You will help ensure customer requests are effectively translated into product requirements and incorporated into roadmap intake, planning, and delivery execution.
Product Operations serves as the connective tissue across the Product Development Lifecycle (PDLC), overseeing and optimizing processes from intake through requirements definition, development, release, and post-launch measurement. In this role, you will help drive consistency, visibility, and accountability across every phase of the PDLC to ensure teams deliver high-quality solutions that create meaningful customer value.
What You'll Do
Product Operations & Process Execution
  • Support and maintain team allocations and product organization structures.
  • Coordinate and track product delivery timelines, dependencies, and key milestones across all phases of the Product Development Lifecycle (PDLC).
  • Partner with customers and internal stakeholders to gather, document, and operationalize enhancement requests and evolving product needs.
  • Reinforce product development best practices, including definitions of done, squad ceremonies, retrospectives, and team workflows.
  • Plan and coordinate the rollout of new product processes, tools, and workflow changes across Product, Engineering, and cross-functional teams

  • Identify opportunities to streamline operational processes and improve team effectiveness.
  • Partner with Product, Engineering, and Sales teams to ensure alignment across initiatives.

Product Management Process & Tooling
  • Manage and maintain the inbound request intake process in partnership with customers and Product teams.
  • Support the requirements maturation process across customer requests, discovery efforts, strategic initiatives, epics, and user stories.
  • Ensure customer enhancement requests are properly documented, prioritized, and tracked through the product development process.

Change Management
  • Plan and coordinate the rollout of new product processes, tools, and workflow changes across Product, Engineering, and cross-functional teams
  • Gather feedback post-rollout to gauge adoption and identify where additional support or iteration is needed
  • Act as a point of contact for questions , helping troubleshoot and reduce friction as teams adapt

What's Required
  • 3-5 years of operational experience working with software products or services, with meaningful time spent directly in Product Operations, Program Management, Business/Data Analysis, or Product Management support roles.
  • Fluency with product management tools, specifically JIRA (or similar issue/project tracking software).
  • Agile/Scrum expertise, with direct experience working within agile software development environments and squad ceremonies.
  • Strong analytical skills, with comfort utilizing BI/visualization tools and spreadsheets to extract insights and enable decision-making.
  • Excellent communication abilities, including strong written/verbal skills and experience presenting findings or recommendations to senior stakeholders.
  • Proven track record of driving projects independently, leading without formal authority, and working comfortably in a fast-paced, remote, collaborative environment.
  • Experience supporting or leading change management efforts (tool rollouts, process changes, org transitions) a plus
  • Self-starter who's comfortable in a fast-paced, remote, collaborative environment

What's Preferred
  • Experience with modern operations, project management, and SDLC tools (e.g., Jira, Confluence, Asana, Monday.com, or Salesforce).
  • Certifications in Process or Project Management, such as Lean Six Sigma, CAPM, or Certified ScrumMaster (CSM).
  • Prior experience in a remote-first, high-growth SaaS environment.
    Experience with Notion or modern collaborative documentation platforms.
  • Change management experience, including supporting or leading tool rollouts, process implementations, and workflow changes

Compensation & Benefits
The expected total cash compensation for this role is market-driven, with an expected starting salary of $120,000 to $146,000. Salary is ultimately determined based on a candidate's skills, expertise, and experience.
