Job description

About SendaRide
SendaRide provides non-emergency medical transportation services that help individuals get to and from important healthcare appointments safely, reliably, and with care. Our operations team plays a key role in making sure every trip is reviewed, documented, scheduled, and supported accurately.
We are looking for a detail-oriented, highly organized Brokerage Services Coordinator to support transportation operations, trip coordination, data entry, scheduling accuracy, billing support, and broker platform management.
About the Role
The Brokerage Services Coordinator is an administrative and operations-focused role responsible for monitoring broker portals, reviewing available transportation requests, entering approved trips into SendaRide's scheduling system, updating trip notes, and supporting successful ride fulfillment.
In this position, you will review trip requests and determine whether they should be accepted, denied, or escalated based on service area, operational capacity, client requirements, and SendaRide guidelines. You will serve as a key connection point between broker platforms, internal operations teams, and SendaRide's scheduling platform.
This is a fast-paced remote operations role that requires strong attention to detail, accuracy, time management, accountability, and comfort working across multiple systems throughout the day.
What You'll Do
  • Monitor transportation broker platforms and online portals for new trip opportunities, trip changes, cancellations, updates, and modifications.
  • Review trip requests to determine whether they should be accepted, denied, or escalated based on service area, geographic coverage, operational capacity, client requirements, and company guidelines.
  • Accurately enter approved trips into SendaRide's scheduling platform with complete rider, pickup, drop-off, appointment, mileage, and trip details.
  • Update ride notes, trip documentation, and scheduling information to ensure accuracy and operational clarity.
  • Coordinate with internal teams and SendaRide Guides to support successful trip completion and on-time performance.
  • Identify trip discrepancies, missing information, scheduling concerns, or operational issues and escalate as needed.
  • Support billing accuracy by ensuring accepted trips are entered, documented, and updated correctly.
  • Communicate professionally with broker clients, internal departments, and Guides regarding trip details, updates, cancellations, and discrepancies.
  • Help maintain accurate records and organized workflows across broker portals and internal systems.
  • Support daily transportation operations by responding quickly and accurately to changing priorities.

What Success Looks Like
  • High accuracy in trip entry, data entry, and ride documentation.
  • Minimal trip entry, scheduling, or billing errors.
  • Timely review and processing of transportation requests.
  • Strong support of broker client on-time performance expectations.
  • Low No Transportation Available rates across assigned broker accounts.
  • Clear, complete, and professional trip notes and documentation.
  • Strong productivity, responsiveness, and follow-through.
  • Ability to manage competing priorities in a fast-paced remote work environment.

What We're Looking For
  • Strong attention to detail and accuracy when reviewing, entering, and updating information.
  • Experience with administrative support, operations support, dispatch, logistics, transportation coordination, healthcare support, customer service, or related work.
  • Ability to work quickly and accurately across multiple platforms, systems, tabs, and workflows.
  • Strong written and verbal communication skills.
  • Ability to follow guidelines, make sound decisions, and escalate concerns appropriately.
  • Strong problem-solving skills and the ability to identify issues before they impact operations.
  • Ability to manage time effectively and prioritize urgent or time-sensitive work.
  • Comfort working in a fast-paced, remote environment with changing priorities.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Dependable attendance and strong schedule adherence.

Preferred Experience
  • 1+ year of experience in operations support, administrative coordination, dispatching, logistics, transportation, customer support, healthcare operations, or a related role.
  • Experience working with online portals, scheduling systems, CRM platforms, dispatch software, or transportation management systems.
  • Experience in non-emergency medical transportation, healthcare transportation, brokerage operations, medical scheduling, or ride coordination is a plus.
  • Proficiency with Microsoft Office, Outlook, Excel, and general computer systems.
  • Ability to learn new software platforms and workflows quickly.

Work Environment
  • Full-time position.
  • Remote work environment.
  • Must have access to a dedicated, quiet workspace.
  • Must have reliable high-speed internet.
  • This role requires working at a computer for extended periods and using multiple systems throughout the day.

Compliance and Confidentiality
This position may involve access to Protected Health Information (PHI), sensitive trip details, client information, and confidential company information. The Brokerage Services Coordinator is required to follow HIPAA standards, confidentiality expectations, and all company privacy and security policies.
