Overview

The HR Operations Analyst is instrumental to the operation of KETTLER's Human Resources department by providing operational support to ensure the delivery of KETTLER's HR processes, systems, and tools to our employees. The HR Operations Analyst role will require completing assignments and tasks by set deadlines, including documentation and optimization of processes, analysis of Human Resources reporting, data entry and HR Operational support. The HR Operations Analyst will possess an entrepreneurial drive, self-awareness, and the ability to thrive in a dynamic environment with limited structure. This individual will also identify, analyze, and interpret trends or patterns with HR data sets and make recommendations for business and process improvement. This role will require strong quantitative, analytical, and organizational skills, completing tasks with high integrity, dependability, accountability and respect. The HR Operations Analyst will take ownership of tasks and pride in their work product, with a commitment to internal customer satisfaction through active listening and problem-solving skills. This role is remote, with occasional travel to the McLean, VA Corporate Office and other regions for meetings and property visits as required.ย 

Responsibilities

HIRS System - UKG

ย 

  • Serve as a UKG subject matter expert and work with leaders' companywide to understand how UKG reporting, and process improvements can enhance their specific operations
  • Manage all aspects of the UKG HRIS and monitor its effectiveness
  • Perform applicable mass updates on data tables and changes in data structures
  • Perform as a liaison with Talent Acquisition per data feeds into UKG
  • Evaluate strategies for the use of people-related data as needs arise and expand the use of that data and associated metrics in organizational analysis

Reporting

  • Analyze data and information to identify trends and business opportunities across the portfolio
  • Distribute and create supporting processes for weekly/monthly/quarterly and annual reports
  • Support the management teams on any data requests to ensure accuracy and efficiency
  • Designing and developing custom reports and managing their regular delivery to key stakeholders
  • Perform ad-hoc analyses/research to recommend optimal operational and property management decisions
  • Responsible for supporting HR quarterly and annual compliance reporting (including EEO, ACA, HERA, etc.).
  • Understands how data will be used when requested and uses strong judgement to adjudicate requests for PII or other HR or personnel information that is kept confidential.
  • Acts with accountability and responsibility for the preservation of PII and confidential company data or information and acts swiftly and urgently in the event of a confirmed or suspected breach of employee or company data
  • Ensures processes are in place to maintain integrity and accuracy of all data input, managed and reported through the core HRIS and related HR and Talent systems

Talent Acquisition, Onboarding & Offboarding

ย 

  • Provide onboarding back-up support for new hires and acquisitions, and act as escalation point
  • Support the I9 process and E-Verify implementation
  • Manage the tracking of the work authorizations for applicable employees
  • Employee Exiting and Terminations - Enters and processes terminations in HRIS, following HR SOP, supports HRBP team by drafting termination notices, communicating with Benefits and Payroll, etc.

Other responsibilities include, but are not limited to:

  • Collaborates with Human Resources and Leadership teams to support business goals of using data analysis to influence business decisions, inform enhancements to process or programs at KETTLER
  • Providing trend analysis reports and tracking
  • Perform Employee Relations intake conversations per documentation and research as a backup to VP, HR such as leadership coaching and counseling and occasional communication with counsel
  • Maintain the Employee Relations tracker so we can evaluate trends in issues
  • Resource to the Perf. Mgmt. process to support/backup to VP, HR
  • Compliance - misc. reports etc... timely such as monthly, quarterly, annually, etc... such as federal, state (EEO-1, WC, OSHA, 5500, -, PCORI, FLSA requests, etc...)
Qualifications
  • Bachelor's degree is a related Business discipline is preferred
  • Minimum of 5 years of relevant experience in HR Operations
  • HR Experience in a multifamily property management firm is preferred
  • Demonstrated interest in and exposure to onboarding and recruiting practices
  • Advanced Microsoft Office skills, particularly in Word and Excel
  • UKG and iCIMS experience preferred
  • Strong quantitative, analytical, and organizational skills
  • Excellent organizational and oral/written communication skills
  • Intermediate to advanced level knowledge of reporting, analytics, and system administration with UKG ย or similar HRIS system required
  • Advanced proficiency with MS Excel required, some knowledge of MS Office, Visio, Power BI, etc. a plus
  • General Data Analytics and Reporting experience preferred
  • Demonstrated strong attention to detail, problem-solving, and critical thinking ability
  • Ability to multitask and manage complex research tasks
