This role will be based in Conshohockem, PA and report to the Assistant Project Manager. What You'll Do
As an Assistant Project Manager, you'll provide essential project coordination and administrative support that helps keep construction projects organized, compliant, and on schedule from kickoff through completion.
Project & Administrative Support
  • Support Project Managers and Construction Managers with daily project administration.
  • Assist with project setup, including project files, schedules, tracking logs, and project management systems.
  • Maintain and update project information within Salesforce, Procore, and other business systems.
  • Prepare, review, and distribute project documentation, including contracts, subcontracts, change orders, transmittals, correspondence, and meeting materials.
  • Track project milestones, deliverables, and critical deadlines.

Document Control & Reporting
  • Maintain accurate and organized electronic and physical project records.
  • Manage document control processes, including submittals, RFIs, drawings, revisions, approvals, and project correspondence.
  • Ensure project documentation is properly version controlled and distributed to the appropriate stakeholders.
  • Assist with project reporting, dashboards, logs, and status updates.

Financial & Contract Administration
  • Support project cost tracking, purchase orders, sales orders, invoices, and change order documentation.
  • Assist with monthly reporting, billing support, and lien waiver collection.
  • Coordinate with accounting and project teams to ensure timely processing of invoices and payments.
  • Track subcontractor and vendor compliance documentation, including insurance certificates, contracts, and safety requirements.

Communication & Coordination
  • Coordinate communication between project teams, clients, subcontractors, vendors, and internal stakeholders.
  • Schedule and coordinate meetings, site visits, project reviews, and conference calls.
  • Prepare agendas, document meeting minutes, and follow up on action items.
  • Respond to project-related administrative inquiries and support requests.

Project Execution & Closeout
  • Monitor project progress and communicate regularly with project teams, customers, and sales personnel.
  • Support permitting activities, RFI tracking, and project documentation requirements.
  • Assist with proposal development, including Requests for Proposals (RFPs) and Statements of Qualifications (SOQs).
  • Ensure project closeout documentation is completed accurately and projects are closed in a timely manner.

What You Need for Success
Education & Experience
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • 2-5 years of administrative, project coordination, construction, engineering, or related project-based experience.
  • Experience supporting construction, engineering, architecture, or project management teams preferred.

Technical Skills
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Experience with project management and document control systems such as Procore, SharePoint, Bluebeam, Primavera, or similar platforms preferred.
  • Experience with Foundation, Syspro, Salesforce, or similar business systems is a plus.
  • Strong organizational, documentation, and record-management skills.
