Job description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Project Cost Administrator based in Netherlands.

This is a fully remote project administration role focused on keeping project cost information accurate, complete, and up to date.
You'll play a critical role in ensuring Project Managers, Engineers, and Site Supervisors have reliable financial and operational data for project decisions.
Your day-to-day work will cover delivery dockets, purchase orders, cost codes, timesheets, labor and plant records, and supporting documentation.
Accuracy is central to the role, with responsibility for maintaining a 99%+ coding accuracy target and minimizing costly rework.
You'll work remotely with an Australian project team, coordinating with suppliers and site teams to resolve missing information and discrepancies.
The role is well suited to someone highly organized who takes ownership of details, follows through on outstanding items, and works confidently with minimal supervision.
It offers international project exposure, a stable remote setup, and opportunities to develop your project administration and cost management expertise.

Accountabilities
  • Process supplier delivery dockets accurately and within the required 24-48-hour timeframe.
  • Match delivery dockets and supporting documentation against purchase orders to ensure project records are complete and accurate.
  • Apply the correct project and cost codes, maintaining a target of 99%+ coding accuracy.
  • Enter, update, and maintain project cost information in Workbench, ensuring records remain accurate and current.
  • Process and maintain timesheets, labor records, plant records, supplier information, and other project cost documentation.
  • Review records to identify duplicate entries, discrepancies, incorrect coding, missing information, and other data-quality issues.
  • Maintain an outstanding docket register and actively follow up on unresolved items.
  • Liaise with site teams and suppliers to obtain missing delivery dockets, supporting documentation, and other required records.
  • Ensure project documentation is complete, accurate, properly organized, and accessible to relevant stakeholders.
  • Provide Project Managers, Engineers, and Site Supervisors with accurate supplier, labor, plant, and project cost information.
  • Maintain strong data integrity across project records and proactively identify issues before they create downstream rework.
  • Consistently meet processing deadlines while maintaining a high standard of accuracy and attention to detail.
Requirements:
  • At least 2 years of relevant professional experience in project administration, cost administration, accounts administration, construction administration, or a related field.
  • Advanced proficiency with Workbench is required.
  • Demonstrated experience processing project costs, delivery dockets, purchase orders, timesheets, labor records, plant records, or similar project documentation.
  • Strong understanding of project and cost coding principles, with a proven ability to maintain highly accurate records.
  • Excellent data-entry and record-management skills, with exceptional attention to detail and a target-driven approach to accuracy.
  • Ability to identify duplicate records, discrepancies, missing information, and inconsistencies and take appropriate action to resolve them.
  • Strong follow-up and communication skills, particularly when coordinating with suppliers, site teams, and other project stakeholders.
  • Ability to consistently meet processing deadlines and manage multiple administrative priorities.
  • Strong organizational and time-management skills, with the discipline to maintain accurate records in a remote environment.
  • Comfortable working independently with minimal supervision while remaining responsive and accountable to the wider project team.
  • Reliable internet connection and a suitable environment for sustained remote work.
  • Experience within Australian construction, civil construction, engineering, infrastructure, or another project-based environment is highly desirable.
  • Previous experience supporting Project Managers, Engineers, or Site Supervisors is an advantage.
  • Experience maintaining plant, labor, supplier, and project cost records is preferred.
