Job Description

Business Information Technology (BIT) Portfolio Planning & Delivery Summary

Our team is responsible for end-to-end portfolio planning and delivery, ensuring alignment between business demand and technology capacity. We lead the quarterly planning lifecycle, driving demand intake, supply planning, prioritization, and plan lock while partnering with business and technology stakeholders to establish realistic and achievable delivery commitments.

We provide ongoing governance and execution oversight by tracking performance against the plan, identifying risks early, and driving change control and rebalancing as needed. The team also enables transparency through reporting and dashboards, giving leadership visibility into supply, demand, and actuals to support informed decision-making.

Key Responsibilities

Portfolio Planning & Demand/Supply Alignment

  • Own the quarterly (and in-quarter) portfolio planning process from intake through execution.
  • Drive alignment between forecasted demand and available technology supply across domains.
  • Lead supply vs. demand analysis to identify capacity gaps, over-utilization, and trade-offs.
  • Facilitate prioritization discussions with business and technology stakeholders to finalize a committed plan.

Execution Tracking & Performance Management

  • Track delivery of actuals against forecasted commitments to ensure adherence to plan.
  • Monitor portfolio performance, identifying risks, variances, and deviations early.
  • Drive corrective actions, including rebalancing, reprioritization, or change control as needed.
  • Ensure strong data integrity and reporting across planning and execution tools.

Governance & Business Partner Alignment

  • Partner closely with PMO to validate plans, align on priorities, and obtain formal sign-off.
  • Ensure all portfolio changes follow established governance and change control processes.
  • Prepare and deliver executive-ready materials for planning reviews, portfolio readouts, and decision forums.

Cross-Functional Leadership & Relationship Management

  • Build and maintain strong relationships with business partners, domain leads, and engineering teams.
  • Serve as a trusted advisor influencing prioritization, trade-offs, and resource allocation decisions.
  • Drive alignment across competing priorities and ensure clear communication of commitments and constraints.

Process Ownership & Continuous Improvement

  • Own and evolve the portfolio planning operating model, including tools, processes, and reporting frameworks.
  • Identify opportunities to streamline workflows and improve planning accuracy and transparency.
  • Support transition to automated dashboards and data-driven decision-making where applicable.

Required Skills:

  • 5–8+ years of experience in portfolio planning and delivery within a technology organization.
  • Proven experience managing demand vs. capacity (supply) alignment at scale.
  • Strong understanding of portfolio governance, prioritization, and execution tracking (actuals vs. forecast).
  • Demonstrated ability to independently lead complex processes with minimal guidance.
  • Strong stakeholder management skills across business and technical teams.
  • Excellent communication skills with experience presenting to leadership, business partners and PMO audiences.

Preferred Skills:

  • Experience working in large, matrixed IT organizations.
  • Familiarity with planning and reporting tools such as Smartsheet, Jira, and dashboarding platforms.

Key Skills

  • Portfolio planning & capacity management
  • Demand vs. supply modeling and analysis
  • Executive communication & storytelling
  • Stakeholder influence & negotiation
  • Risk identification and mitigation

What Success Looks Like

  • Fully aligned quarterly portfolio plans with clear business and technology commitments
  • Strong visibility into supply vs. demand across all domains
  • Accurate tracking of actuals vs. forecast with proactive issue resolution
  • High confidence from leadership in planning outputs and reporting
  • Seamless execution supported by strong governance and change control
