Job description

The Executive Producer is responsible for leading the planning, execution, and financial management of programs, events, and brand activations from project start through final reconciliation. This role serves as the primary operational leader, ensuring projects are delivered on time, within budget, and to the highest quality standards while fostering strong client relationships and cross-functional collaboration.
Responsibilities:
  • Lead project kickoff meetings and provide training as needed including detailed production and execution plans for assigned activations.
  • Develop staffing plans, assign team responsibilities, and ensure appropriate resource allocation.
  • Coordinate equipment requirements, transportation logistics, and production schedules.
  • Submit and manage purchase service requests and procurement activities.
  • Develop and oversee production documentation, including run-of-show schedules, production timelines, and operational plans.
  • Ensure all insurance, permitting, and compliance requirements are met prior to project execution.
  • Serve as a primary operational contact for clients throughout the project.
  • Attend client status meetings and provide project updates.
  • Monitor project budgets throughout execution, ensuring financial performance aligns with project objectives.
  • Coordinate all documentation required for timely and accurate client invoicing.
  • Attend events as required to oversee production and ensure successful execution.
  • Provide leadership and support to on-site teams, vendors, and client representatives.
  • Resolve operational challenges quickly while maintaining exceptional client service.
  • Set expectations and execution standards for field staff and production team.
  • Complete required project documentation, including event reports, expense reports, mileage, equipment usage, and inventory records.
  • Review and approve employee timesheets.
  • Perform other duties as assigned.

Education:
  • High school diploma is the minimum education requirement
  • Bachelor's degree in business related field is preferred or related field experience

Experience:
  • Ability to multi-task, prioritize work and take direction from multiple people
  • Ability to communicate clearly and professionally to all levels of the organization as well as to external customers and/or vendors
  • Must be resourceful and have ability to troubleshoot and solve problems quickly
  • Experience in building out displays for events is a plus

Skills:
  • Minimum of 2 years field event experience; additional office experience is a plus
  • Intermediate computer skills and knowledge of Microsoft Word, Excel and Outlook
  • Working knowledge of Visio and Adobe Illustrator a plus
  • Must possess organizational and consistent follow-thru skills
  • Must have excellent time management skills
  • Exemplary written and verbal communication skills
  • Extremely detail oriented with ability to create, utilize, and manage organization templates, timelines, calendars, and key documents
  • Ability to multi-task, prioritize work to meet critical deadlines and take direction from multiple people.
  • Ability to communicate clearly and professionally to all levels of the organization as well as to external customers and/or vendors.
  • Resourceful and have ability to troubleshoot and solve problems in a timely and efficient manner
  • Must be able to develop, analyze, organize, implement, and execute work procedures
