Title: Project Coordinator Location: Must be located in PA or Raritan NJ Type: Contract - Long term Compensation: $75,000 -$85,000 annually, plus 20 paid vacation days, 10 paid holidays per year, plus the option to sign up for health benefits, as well as a 401K Work Model: Hybrid - 2-3 days/month onsite Hours: 40 per week Position Summary Joulé is seeking a highly organized Project Coordinator to support the U.S. Medical Affairs team for a leading global pharmaceutical company. This individual will provide operational and administrative support across medical congress planning, opinion leader engagement logistics, executive site visits, and cross-functional project coordination. This role is ideal for an early-career project coordinator who thrives in a fast-paced environment, enjoys managing multiple priorities, and excels at keeping complex projects organized. The position is primarily remote with occasional onsite meetings (approximately 2–3 days per month) at the Horsham, PA or Raritan, NJ office. Primary Responsibilities: Medical Congress Coordination

  • Coordinate operational activities supporting regional and national medical congresses from planning through execution.
  • Manage attendee registration, hotel accommodations, travel coordination, meeting logistics, and event calendars.
  • Support booth logistics and congress deliverables for smaller meetings managed directly by the Medical Affairs team.
  • Track project milestones, deadlines, and action items to ensure timely execution.
  • Coordinate with internal stakeholders and external vendors to support successful congress operations.
Project Coordination
  • Maintain multiple project timelines simultaneously while supporting numerous congresses throughout the year.
  • Schedule meetings and coordinate agendas, meeting materials, and follow-up action items.
  • Maintain project trackers, dashboards, and documentation.
  • Provide administrative support for Medical Affairs initiatives as needed.
Opinion Leader Engagement Support
  • Coordinate logistics for healthcare professional and opinion leader meetings.
  • Assist with scheduling, communications, meeting preparation, and documentation.
  • Support engagement activities while ensuring compliance with company policies and procedures.
Executive Meeting & Site Visit Support
  • Coordinate logistics for executive visits, advisory meetings, and customer engagements.
  • Assist with scheduling, meeting materials, room reservations, travel coordination, and communications.
  • Ensure seamless execution of leadership meetings and site visits.
Communication & Documentation
  • Serve as a central point of coordination across Medical Affairs, Commercial, vendors, and other internal functions.
  • Maintain SharePoint sites, project folders, and team documentation.
  • Prepare meeting minutes, status reports, presentations, and communication materials.
  • Monitor project mailboxes and assist with day-to-day operational communications.
Qualifications: Required
  • Bachelor's degree or equivalent experience.
  • 3–5 years of project coordination, administrative, or operations experience.
  • Experience supporting multiple concurrent projects in a fast-paced environment.
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication skills.
  • Advanced Microsoft Office skills, including Outlook, Excel, PowerPoint, and Teams.
  • Experience maintaining SharePoint sites and project documentation.
  • Ability to work independently while collaborating across cross-functional teams.
