The Payroll Systems Specialist is responsible for supporting, tracking and auditing of payroll technology systems, with a strong emphasis on UKG ProWorkforce Management, Oracle (payroll and payroll tax configurations), and organizational hierarchy support. This role partners closely with payroll services team members, HR, IT, and Finance to ensure payroll and payroll tax accuracy, compliance, and system integrity for a large, multistate organization that oversees payroll for approximately 14,000 employees.

The position will report to the Payroll Systems Manager and can be a hybrid or remote role depending on the employee’s home base.


  • Payroll Systems Support: 
    • Support payroll system responsibility areas including running, analyzing, documenting and distributing report data, end to end testing and production for UKG ProWorkforce Management, Oracle, and organizational hierarchy. 
    • Support & collaborate with IT for payroll system enhancements, automations, integrations, and technology improvements. 
    • Support system governance, ensuring consistent configuration standards, best practices, and documentation. 
    • Support integrations between payroll systems and downstream systems (GL, benefits, vendor files, etc.) 
  • UKG ProWorkforce Management Configuration, Optimization & Support: 
    • Support IT to maintain configuration of pay rules, deduction codes, earnings codes, work groups, tax profiles, and job/pay structures. 
    • Support integration and ongoing payroll needs with UKG to Oracle payroll/tax system. This includes payroll exports, historical edits, data updates, etc. 
  • Payroll Tax Configuration & Compliance: 
    • Partner with Payroll Tax team, to support multi-state payroll tax setups including SUI, SUTA, local tax jurisdictions, reciprocity rules, supplemental wage tax logic, and withholding rules. 
    • Assist Payroll Tax team, to ensure quarterly/annual tax reviews, year-end processing, audits, and reconciliation needs are accomplished. 
  • Organizational Structure & Hierarchy Management: 
    • Support organizational hierarchy across company structure, business units, cost centers, locations, supervisors, and labor distribution, through daily reconciliation reports, ServiceNow tickets, and email requests. 
    • Ensure alignment between HR, Finance, and Payroll structures including supporting reorganizations and acquisitions. 
  • Operational Excellence, Testing & Support: 
    • Ensure payroll systems practices comply with federal, state, local and company policies. 
    • Support systems testing for Payroll/Tax Services team members. 
    • Support acquisitions and new openings. 
    • Serve as a subject matter expert for all payroll systems, helping to implement automated audits and controls to ensure payroll/payroll tax accuracy and compliance. 
    • Support miscellaneous programs related to payroll/payroll tax, such as the Alumni Portal, API Wizard, KBACE. •
    • Perform Oracle quarterly and annual payroll/payroll tax testing, additional system testing as needed, and monthly Vertex update testing to ensure system accuracy and compliance.

  • Bachelor’s degree from an accredited college or university or equivalent education and experience 
  • In lieu of higher education, the ratio is 1:1 meaning one year of college equals one year of work experience and vice-versa. 
  • Customarily has at least 3 years of experience in payroll systems or HRIS. 
  • Expertise in UKG ProWorkforce Management and Oracle maintenance including interface to payroll applications. 
  • Experience with system support with HR/Payroll systems.

  • Demonstrates exceptional attention to detail and strong organizational skills, with the ability to effectively multitask and adapt in a fast-paced environment where payroll and payroll tax regulations are continually evolving. 
  • Detail-oriented with a high degree of accuracy. 
  • Ability to manage multiple priorities simultaneously with ease (and sense of calm) and the ability to re-prioritize quickly.  Strong analytical and organizational skills.
