As a remote operations manager, you work from home to monitor business operations, plan a budget, and come up with strategies to improve efficiency, quality, and profits. Some of your job responsibilities vary depending on the industry in which you work. In fields such as production, you oversee quality assurance (QA) operations. In all positions, you coordinate with employees and departments and run meetings virtually. Some jobs require you to visit work or production sites occasionally.

What is a remote operations manager?

A Remote Operations Manager is responsible for overseeing and coordinating business operations from a remote location rather than a traditional office setting. This role typically involves managing teams, workflows, and processes to ensure efficiency, productivity, and alignment with company goals, all while leveraging digital tools and communication platforms. Remote Operations Managers must be skilled in virtual leadership, project management, and problem-solving to effectively support distributed teams. Business Operations Manager

Cerbo OptiMantra

Job description

The Company

Cerbo · OptiMantra is a healthcare technology company built for the practices actively changing how medicine is delivered. Our platforms serve functional, integrative, direct primary care, concierge, med spa, and behavioral health practitioners who need software that keeps pace with how they work -- not the other way around.

Each platform is a purpose-built EHR and practice management solution. Cerbo is architected for clinical depth: deep configuration, protocol-specific workflows, and the kind of flexibility that holistic and functional medicine practices require. OptiMantra is structured for scale: multi-modality breadth, out-of-the-box readiness, and the operational infrastructure that growing practices rely on.

Together, our two platforms form a leading presence in this rapidly expanding market. Our practitioners are redefining what a patient experience can look like. We exist to give them the technology foundation to do exactly that -- at whatever size and pace they choose to grow.

What You’ll Do

As Business Operations Manager, you will sit within Finance and support operational reporting and presentation prep for senior leadership, translating activity across the business into clear, decision-ready insight. You'll support process and margin improvement initiatives, manage smaller projects and take on ad hoc work as priorities shift, and partner closely with Functional leadership — Sales, Customer Success, Support, and beyond — to align on goals and get things done. You'll also support oversight of the operational metrics that feed into compensation plans, helping ensure they're accurate and consistently applied. Reporting to the VP, Finance in a fast-growing, PE-backed SaaS environment, this is a hands-on role for someone who is process-driven, AI-forward, and growth-minded.

Primary Responsibilities

  • Operational Reporting & Presentation Prep: Build and maintain recurring and ad-hoc operational reporting, and prepare polished presentations that turn business activity into clear, decision-ready insight for senior leadership.
  • Process & Margin Improvement: Support initiatives that improve margin and operational efficiency — process redesign, workflow automation, and cost/efficiency analysis — in partnership with teams across the business.
  • Project Management & Ad Hoc Projects: Support cross-functional projects and independently manage smaller projects and ad hoc analyses as business priorities shift.
  • Reporting Automation & AI Workflows: Support process-improvement and reporting-automation initiatives that move manual workflows toward modern, AI-forward tooling — including agentic workflows that reduce hands-on reporting work.
  • Compensation Metrics Oversight: Support oversight and reporting of the operational metrics — quota attainment, SLA performance, and related measures — that feed into Sales and functional compensation plans, helping ensure they're accurate and consistently applied.
  • Cross-Functional Partnership: Act as the connective point between Finance and Functional leadership — Sales, Customer Success, Support, and others — to align on goals, surface issues early, and drive shared initiatives to completion.
  • Systems & Data Partnership: Partner with teams across the business to ensure clean data flows from operational platforms (Jira, Zendesk) and Sales and Finance back-office systems into reporting, flagging discrepancies before they affect the numbers.

Required Skills & Qualifications

  • 3+ years of experience in business operations, FP&A, revenue operations, or a related analytical/operational role, ideally in a high-growth SaaS environment.
  • Strong reporting and analysis skills, with the ability to turn raw operational data from multiple systems into clear, actionable insight for leadership.
  • Hands-on experience supporting cross-functional projects and ad hoc initiatives, with growing ability to manage smaller projects independently.
  • Experience preparing leadership-level reporting and presentations, translating operational and financial data into materials clear enough to drive decisions.
  • Working knowledge of operational and support platforms (Jira, Zendesk, or similar) and Sales and Finance back-office systems (e.g., Salesforce, HubSpot, NetSuite, QuickBooks) sufficient to pull, interpret, and reconcile data across systems. Advanced Excel skills required.
  • AI-forward and process-improvement minded, with a track record of using AI and automation tools — including agentic workflows — to automate manual reporting and streamline operations.
  • A proven ability to build SOPs and bring structure, accuracy, and automation to manual operational and financial processes.
  • Comfort supporting an operational metric end to end and helping drive it in the right direction, including metrics that feed into compensation plans (e.g., quota attainment, SLA performance).
  • Strong judgment on what to prioritize and escalate; comfortable coordinating with contractors or support staff as needed.
  • Exceptional organizational skills and high attention to detail.
  • Strong written and verbal communication; able to work credibly with Finance leadership and Functional leaders across the business.
  • Proactive problem-solve, comfortable with fast-paced, high-growth environments.

Compensation & Benefits

  • Competitive compensation based on experience
  • Paid Time Off and company holidays
  • Comprehensive health, dental and vision benefits
  • Short-term and long-term disability Insurance
  • 401k plan with matching company contribution
  • Real ownership and impact in a fast-growing health tech company

Location100% Remote
