Position Summary
AIMS Force is seeking a highly organized, proactive, and relationship-driven Healthcare Operations Manager to support healthcare staffing operations across federal and commercial healthcare contracts.
This role will serve as a key operational bridge between recruitment, HR, credentialing, security, project management, employees, and government customers. The Healthcare Operations Manager will help ensure that candidates move smoothly from offer acceptance through onboarding, credentialing, security processing, compliance completion, and successful contract start.
This is not a basic administrative role. We are looking for someone who can manage projects, build trust with employees, communicate professionally with government customers, solve problems, and help create scalable operational systems as AIMS Force continues to grow.
Key Responsibilities
Project Operations & Contract Support
  • Support post-award transition and contract startup activities.
  • Track onboarding, credentialing, security, and staffing readiness for assigned contracts.
  • Coordinate with project managers, recruiters, HR, employees, and government points of contact.
  • Monitor operational deadlines and escalate risks early.
  • Maintain organized trackers, dashboards, and status reports.
  • Support contract employees throughout the assignment lifecycle.
  • Help ensure staffing commitments, start dates, and compliance requirements are met.

Credentialing & Compliance
  • Oversee credentialing progress for healthcare providers and support staff.
  • Track licenses, certifications, immunizations, training, and required documentation.
  • Ensure credentialing packets are complete, accurate, and submitted on time.
  • Monitor expiration dates and renewal deadlines.
  • Maintain audit-ready credentialing and compliance documentation.
  • Coordinate with internal teams to resolve credentialing delays.

Security & Government Onboarding
  • Coordinate security packet completion, fingerprinting, background processing, base access, CAC-related onboarding, and other government access requirements.
  • Communicate with employees and government security offices regarding pending items.
  • Track security status and identify delays that may impact start dates.
  • Ensure sensitive documents and PII are handled securely and professionally.

Recruitment Operations Support
  • Partner with recruiters after candidate selection to support final closing and transition to onboarding.
  • Conduct final pre-employment calls to confirm candidate interest, compensation, availability, start date, and expectations.
  • Help reduce candidate fall-off between offer acceptance and first day of work.
  • Coordinate handoff from recruitment to onboarding and operations.
  • Track candidate readiness through first day confirmation.

Employee Relations & Retention
  • Serve as a trusted operational contact for employees.
  • Conduct welcome calls, check-ins, and follow-ups with contract employees.
  • Help resolve employee concerns professionally and timely.
  • Support difficult conversations when needed.
  • Build employee trust and improve retention.
  • Escalate HR-related matters to the HR team as appropriate.

Government Customer & COR Coordination
  • Communicate professionally with CORs, KOs, security offices, department leads, and other government contacts as appropriate.
  • Support contract startup meetings, transition planning, and operational follow-up.
  • Help maintain strong customer relationships through timely communication and problem-solving.
  • Escalate sensitive or contractual matters to leadership.

Process Improvement & Leadership Support
  • Help develop SOPs, checklists, workflows, and scalable systems.
  • Identify process gaps and recommend improvements.
  • Coordinate with offshore administrative support teams for non-sensitive tasks.
  • Provide quality control and oversight for assigned operational workflows.
  • Support leadership with special projects, reporting, and operational planning.

Qualifications
  • 3+ years of experience in healthcare operations, credentialing, staffing operations, HR operations, compliance, government contracting, or project coordination.
  • Experience supporting healthcare staffing, federal contracts, Military Treatment Facilities, DoD, VA, IHS, or DHA environments preferred.
  • Strong understanding of credentialing, onboarding, compliance tracking, and employee documentation workflows.
  • Experience coordinating security packets, fingerprinting, background processing, or government onboarding preferred.
  • Strong Microsoft Excel, Microsoft 365, Teams, SharePoint, OneDrive, and tracker management skills.
  • Excellent written and verbal communication skills.
  • Strong follow-up, organization, multitasking, and problem-solving ability.
  • Comfortable handling confidential employee information and PII.
  • Able to work independently in a remote environment.
  • Prior military, retired military, or military spouse background preferred but not required.

Work Location
