Job Overview
The Senior Business Operations Coordinator provides administrative and coordination support to Ross Production Services (RPS), with a primary focus on event costing, bill-backs, invoicing support, and operational efficiency.
This role ensures business transactions and event-related costs are processed accurately and on time while supporting process improvement initiatives, coordinating activities across teams, and identifying opportunities to simplify and streamline business operations.
Key Responsibilities
  • Process and review event costs, ensuring expenses are accurately assigned to the appropriate event, project, or customer.
  • Prepare and process customer and internal bill-backs, including supporting documentation.
  • Collect, review, and process employee and freelance timesheets, following up on missing or incomplete submissions.
  • Process event-related invoices, expenses, purchase documentation, and other financial transactions.
  • Maintain accurate event records and ensure all supporting documentation is complete and properly filed.
  • Coordinate with Finance, Operations, and other internal teams to resolve billing, payment, timesheet, and event-cost issues.
  • Support event close-out activities by ensuring outstanding costs, expenses, timesheets, and invoices are processed in a timely manner.
  • Maintain administrative documentation and workflows while continuously identifying opportunities to simplify, standardize, and improve routine business processes.
  • Assist with implementing process improvements and ensuring updated procedures are adopted and followed.
  • Monitor key operational tasks and follow up with stakeholders to ensure deadlines and requirements are met.
  • Assist with the development, maintenance, and documentation of standard operating procedures and business processes.
  • Provide guidance and support to team members on operational procedures, systems, and administrative requirements.
  • Support management with operational initiatives, process changes, and other business coordination activities as required.
Qualifications and Experience
  • College diploma or an equivalent combination of education and relevant experience.
  • Experience in business administration, operations coordination, billing, payroll administration, finance administration, or a related field.
  • Strong ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency with Microsoft Excel, Outlook, and other standard business software applications.
  • Experience with ERP, accounting, payroll, expense management, or time-entry systems is considered an asset.
  • Ability to work independently while coordinating activities across multiple departments.
  • Demonstrated ability to identify, improve, and streamline administrative and operational processes.
