Administrative Assistant

We are seeking a highly organized, professional, and dependable Administrative Assistant to join our team. This position plays an important role in supporting executive leadership, team members, and the day-to-day administrative operations of our mental health agency.

The ideal candidate is detail-oriented, communicates professionally, manages multiple priorities effectively, and understands the importance of discretion when working with confidential and time-sensitive information.


Key Responsibilities

  • Answer and screen incoming telephone calls, take accurate messages, and route correspondence appropriately.
  • Make outbound calls to clients, insurance companies, and other parties as needed.
  • Provide high-level administrative support to executive leadership and team members.
  • Coordinate multiple assignments and projects while maintaining established priorities and deadlines.
  • Prepare, edit, and format correspondence, reports, presentations, and other business documents.
  • Manage executive calendars, appointments, meetings, and travel arrangements.
  • Perform data entry and maintain accurate, organized, and up-to-date records.
  • Generate administrative reports as requested.
  • Maintain the confidentiality of client, employee, and organizational information.
  • Assist with client billing and related administrative functions as needed.
  • Provide professional and courteous assistance to clients, families, staff, and external partners.
  • Perform other administrative duties as assigned.

Qualifications

  • Associate degree required; bachelor's degree preferred. Equivalent combinations of relevant education and experience may be considered.
  • Minimum of one year of administrative experience in a medical, behavioral health, or healthcare office environment preferred.
  • Familiarity with mental health or behavioral health services is a plus.
  • Excellent verbal and written communication skills.
