Job description

The Administrative Assistant is a key member of loan operations and sales teams responsible for ensuring timely, accurate, and high-quality support throughout the loan process. This role acts as the central liaison between Area Managers (AM), Loan Officers (LO), Client Services (CS), and borrowers to ensure complete and compliant loan documentation, efficient onboarding, and exceptional customer service from intake through post-closing.
This is a fully remote position that requires the ability to work independently, communicate effectively across teams, and maintain productivity while working from a home office.
Job Duties and Responsibilities
Loan Intake amp; Documentation
  • Review and log new loan documents in the Synthesis.
  • Confirm loan type, borrower details, and product accuracy.
  • Use standardized checklists to collect and verify required documents.
  • Maintain a clean, complete file with consistent naming conventions for easy data entry.
Communication amp; Coordination
  • Serve as the primary point of contact for internal and external parties for the life of the loan.
  • Communicate missing or incorrect documentation to AM/LO or borrower.
  • Follow up on outstanding items within 24 hours; escalate unresolved issues.
  • Respond to general inquiries and documentation requests.
File Review amp; Preparation
  • Review all documents for accuracy, completeness, and compliance with naming protocols.
  • Reject, clarify, or replace incomplete or outdated documents.
  • Organize final file package for handoff to Client Services within KPI guidelines.
  • Ensure no duplicates or outdated versions exist in the final loan file.
Client Services Handoff
  • Upload loan package to Synthesis.
  • Update tracking system log SLA compliance.
  • Respond to rework items.
Post-Closing amp; Customer Service
  • Track and file AOIs, AOPs, NTBs, and other post-closing documents.
  • Send welcome packages within 7 business days of loan closing.
  • Support borrower onboarding to the portal.
  • Submit draw requests within 2 business hours.
  • Verify draws to confirm accuracy
  • Research all account inquiries.
  • Submit lien/UCC release requests.
Administrative amp; Office Support
  • Manage and fulfill office supply orders.
  • Coordinate marketing mailings, birthday card mailings, and borrower communications.
  • Process invoices via Mineral Tree.
  • Assist with travel/meeting logistics.
Experience, Qualifications, and Requirements
  • 2+ years of experience in loan operations, financial services, or administrative support preferred
  • Strong attention to detail and organizational skills
  • Effective communication and follow-up skills
  • Familiarity with ag lending documentation and terminology is a plus
  • Proficient in Microsoft Office, CRM systems, and document management platforms (e.g., Synthesis)
