Description
We are seeking a highly capable and detail-oriented Associate Vice President to serve as a direct extension of the Principal & Lead Advisor within a boutique, administrative family office platform.
This individual will play a central role in client engagement, advisory coordination, and service delivery, acting as the connective layer between strategy and execution. The AVP will work closely with the Lead Advisor to translate complex financial, tax, investment, and estate planning strategies into coordinated action across internal and external stakeholders.
This role is best suited for a mid-to-senior level professional who has meaningful experience serving high-net-worth or ultra-high-net-worth clients and is ready to step into a highly dynamic, high-responsibility position within a growing firm.
The AVP will function as a second voice to the client, reinforcing and advancing advisory direction, while ensuring all client-related activities are executed with precision, consistency, and a high standard of care.
Core Role Objective
Serve as the primary operator of client engagements-translating advisory direction into coordinated action, maintaining continuity across all stakeholders, and ensuring the consistent delivery of a high-touch family office experience.
Key Responsibilities
1. Client Engagement & Advisory Support
  • Act as a secondary point of contact for clients, reinforcing and advancing the strategic direction set by the Lead Advisor
  • Participate in all client communications, ensuring continuity, clarity, and follow-through
  • Prepare and deliver client communications including:
    • Meeting recaps
    • Action plans
    • Status updates
  • Ensure clients experience a seamless, proactive, and highly organized advisory relationship

2. Advisory Translation & Facilitation
  • Translate high-level advisory direction into:
    • Clear action items
    • Structured workflows
    • Defined deliverables
  • Coordinate across multiple disciplines including:
    • Tax strategy and compliance
    • Investment structuring and implementation
    • Estate planning and entity structuring
    • Banking, lending, and liquidity management
  • Ensure all stakeholders (internal and external) are aligned on objectives, timelines, and expectations

3. Project Management & Service Delivery
  • Own the end-to-end lifecycle of client engagements, including:
    • Task tracking
    • Timeline management
    • Workflow execution
  • Oversee the completion of all client deliverables across:
    • Financial planning
    • Tax coordination
    • Legal and estate workflows
    • Investment execution
  • Ensure all work is completed:
    • On time
    • To specification

4. Coordination of External Providers
  • Supervise and support the coordination of:
    • CPAs and tax advisors
    • Attorneys and estate planners
    • Investment and asset managers
    • Banking and lending partners
  • Track deliverables, timelines, and dependencies across all third parties
  • Ensure accountability and responsiveness from all external partners

5. Internal Execution Oversight
  • Collaborate closely with the Client Operations Associateto:
    • Delegate execution tasks
    • Review deliverables
    • Ensure quality control before client delivery
  • Maintain visibility across all workstreams to ensure consistency and completeness

6. Financial Planning & Strategic Support
  • Support the development and refinement of comprehensive financial plans
  • Assist in synthesizing complex financial information into clear, actionable insights
  • Prepare materials and recommendations for Lead Advisor review

7. Investment & Opportunity Evaluation
  • Assist in reviewing and vetting investment opportunities presented to the firm or its clients
  • Analyze supporting materials and identify key risks, assumptions, and considerations
  • Summarize findings for internal discussion and client presentation

This role reports directly to the Principal / Lead Advisory. The role requires supervision of and collaboration with the Senior Associate and Legal team. The role works closely with client families and external professional partners.
Qualification & Required Experience
  • 5-10 years of experience in:
    • Wealth management
    • Multi-family office
    • Private client advisory
    • Investment operations or financial planning
  • Strong understanding of:
    • Financial planning concepts
    • Tax strategy coordination
    • Estate planning structures (trusts, LLCs, etc.)
    • Investment vehicles and capital flows
  • Experience participating in client-facing engagements
  • Exceptional organizational and project management capabilities

Preferred
  • Active license (Series 65 or equivalent) or ability to obtain
  • Professional designations (CFP®, CPA, EA, CPWA®, JD, or similar)
  • Experience working with high-net-worth or ultra-high-net-worth clients
