About the Role

We are seeking a highly organized, clinician-focused Assistant Operations Manager to support the day-to-day operations of our growing behavioral health private practice.

This fully remote role is focused on three primary objectives:

Building strong clinician relationships by providing exceptional operational support and helping clinicians succeed in their day-to-day work.

Supporting operational processes through accurate documentation, workflow coordination, and continuous process improvement.

Tracking key performance indicators (KPIs), analyzing operational data, and providing reporting that helps leadership achieve organizational goals.

Primary Responsibilities

1. Support & Strengthen Clinician Relationships

Serve as a primary operational resource for clinicians across the practice.

Build positive working relationships by providing timely, responsive support.

Help clinicians navigate operational processes, documentation, scheduling questions, and internal workflows.

Partner with leadership to improve clinician satisfaction and the overall operational experience.

2. Coordinate and Improve Daily Operations & Processes

Support daily operational workflows and ensure accurate documentation and internal processes.

Identify opportunities to improve efficiency, consistency, and workflow effectiveness.

Assist with implementation of operational initiatives across multiple departments.

Maintain HIPAA compliance and organizational standards.

3. Analyze Performance & Support Leadership

Track clinician activity, documentation, sessions, operational metrics, and KPIs.

Pull, analyze, and interpret operational reports for leadership.

Monitor progress toward departmental goals and identify trends or opportunities for improvement.

Support operational planning through data analysis and performance reporting.

Required Qualifications

Bachelor's Degree - Required

2+ years of experience in behavioral health, healthcare administration, medical office operations, or a similar healthcare environment.

Experience using an Electronic Health Record (EHR) system (AdvancedMD strongly preferred).

Strong relationship-building, communication, and interpersonal skills with the ability to work effectively with clinicians and cross-functional teams.

Strong analytical skills with the ability to organize, interpret, and communicate operational data.

Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment.

Comfortable working independently in a fully remote environment.

Preferred Qualifications

Experience in a behavioral health or outpatient private practice.

Experience with Salesforce or another CRM platform.

Familiarity with New York insurance plans and authorization processes.

Experience pulling reports, analyzing operational data, and tracking key performance indicators (KPIs).

Previous leadership or supervisory experience.
