Position Summary:

As a Client Intake Specialist, you are the first point of contact for our clients, guiding them through a clear, empathetic, and efficient intake process while accurately managing backend systems. This fast‑paced, detail-oriented role is ideal for someone who enjoys client‑facing work, thrives in a process‑driven environment, and is comfortable with change and ambiguity as the role evolves with our firm’s needs.

This position can be fully remote from any U.S. location, or based in either our Troy, MI or Ann Arbor, MI office as an in-person or hybrid role. Please note - although this role can be remote, all work must be performed within the United States. 


What you’ll do:

  • Use workflows to manage the full intake process, including things like check‑ins, case status updates, and required follow‑ups with a high volume of clients each day
  • Monitor and respond to multiple shared inboxes, ensuring timely handling and routing of inquiries from prospective and existing clients
  • Conduct outbound calls with prospective clients to complete consultations and intake steps, answer questions, and move cases forward with same-day or next business-day follow-up
  • Record and regularly update all client information and feedback in HubSpot
  • Support multiple attorney teams by coordinating leads, managing calendars, tracking case assignments, and handling post‑appointment follow‑ups
  • Review client credentials (resumes, Google Scholar citations, highest degrees, etc.) to support case evaluation and eligibility decisions, ensuring attorneys have complete, well‑organized information for consideration
  • Perform additional duties as assigned by management

 
What skills and experience you'll bring: 

  • Bachelor's degree or equivalent experience
  • 1+ years of experience in a customer service, administrative, or other public-facing role emphasizing a high level of service
  • Proficiency in HubSpot, Microsoft Office, and/or other CRM systems highly preferred
  • Comfort using firm-approved AI and automation tools to support intake workflows
  • Strong organizational skills and a high level of attention to detail
  • Excellent communication skills
  • Proficiency in additional languages is valued but not required
  • Ability to work effectively both with a team and independently
  • Cultural sensitivity and passion for supporting immigrants and recognizing their valuable contributions to America's economy and culture
  • Experience working in remote or hybrid environments preferred
