About the Role

We are looking for a detail-oriented, proactive Medical Records Specialist to join our team. In this role, you will play an essential part in ensuring our patients continue receiving their medical supplies without interruption by maintaining accurate, timely, and compliant medical documentation.

Because we operate in a fast-paced, high-volume environment, you’ll thrive here if you are comfortable making frequent outbound calls to clinics and providers, navigating Excel spreadsheets, and working closely with internal teams to keep all prescription-related records current and aligned with payer requirements.

What You’ll Do

Prescription & Auth Management: Renew, revise, and maintain all prescriptions 30–60 days prior to their expiration date to prevent lapses in patient eligibility, and assist with prior authorization renewals.

High-Volume Provider Outreach: Make outbound calls to clinics, PCPs, and care facilities with professional phone etiquette to secure prescription renewals and resolve documentation issues.

Documentation & Compliance: Review medical documentation and ICD-10 coding to ensure client records meet insurance requirements; stay updated on changing payer guidelines.

Reporting & Tracking: Run expired prescription reports in Brightree and maintain the Expiring Prescription Excel tracker in coordination with Medical Records leadership.

Internal Collaboration: Work closely with CSRs to identify and resolve PCP or documentation conflicts, ensuring smooth cross-departmental workflows.

Portal Operations: Maintain access to and navigate insurance portals for eligibility and documentation verification.

Perform other related duties and special projects as assigned.

What We’re Looking For

Required:

Communication & Phone Skills: Excellent phone etiquette and comfort making high-volume outbound calls to clinics, PCPs, and healthcare facilities.

Coding & Terminology: Working knowledge of ICD-10 coding and medical documentation standards.

Technical Aptitude: Strong proficiency in Excel to maintain tracking reports, alongside comfort navigating databases and web portals.

Work Ethic: Keen attention to detail, strong organizational skills, and the ability to multitask and meet tight deadlines.

Nice-to-Haves / Pluses:

Experience with prior authorizations and insurance workflows.

Experience with Brightree software or similar medical billing/records platforms.

Background in DME, pharmacy, or clinic administration.
