About the Role

As Coordinating Department Manager (Scheduling & Dispatch), you will lead one of the company's most critical operational departments, overseeing scheduling, dispatch coordination, client communication, team performance, and process improvement initiatives.

This role is central to ensuring operational excellence, maintaining a high-quality client experience, and supporting the growth of a fast-paced remote organization. You will be responsible for developing team members, improving workflows, managing escalations, and building scalable systems that support long-term success.

Key Responsibilities
  • Lead, coach, train, and develop a Coordinating Department team of up to 10 staff members
  • Oversee scheduling, dispatch operations, and client communication activities
  • Own departmental performance metrics, quality standards, and customer experience outcomes
  • Develop and improve standard operating procedures (SOPs), checklists, workflows, and quality-control processes
  • Monitor team productivity and provide ongoing coaching and performance management
  • Assist with recruiting, hiring, onboarding, and training new coordinators as the company grows
  • Handle escalated client and operational issues while supporting successful resolution
  • Identify opportunities for operational improvements and increased efficiency
  • Collaborate with leadership to support organizational growth initiatives
  • Ensure consistent execution of company policies, procedures, and service standards
Requirements
  • Experience managing remote employees and distributed teams
  • Background in operations, scheduling, dispatch, coordination, customer service, or other client-facing operational environments
  • Strong computer proficiency and comfort working within multiple software platforms
  • Excellent communication, organizational, and leadership skills
  • Ability to coach, mentor, and develop employees while maintaining accountability
  • Detail-oriented, process-driven mindset with strong problem-solving abilities
  • Previous remote team management experience preferred
