Job Summary
The Document Control Specialist establishes, maintains, and governs all document management processes for a large-scale, multi-phase critical electrical EPC data center project within a broader program. This role ensures accurate, timely, and controlled management of all project documentation across engineering, procurement, manufacturing, logistics, construction, testing, commissioning, and turnover โ€” supporting contractual compliance, traceability, and audit readiness throughout the project lifecycle.

Key Responsibilities

  • Establish and maintain the document control system, workflows, and standards for the project, including naming conventions, numbering, revision control, and metadata.
  • Manage intake, distribution, tracking, and storage of all project documents, including engineering drawings and specifications; submittals and RFIs; contracts, POs, and vendor documentation; and field reports, QA/QC records, and commissioning documentation.
  • Maintain document registers and logs, including submittal logs, RFI logs, drawing registers, and turnover packages.
  • Ensure revision control and version accuracy across all internal and external documentation.
  • Coordinate document flow between engineering, procurement, subcontractors, client, and field teams.
  • Track and enforce document submission deadlines and approval workflows.
  • Support submittal and RFI processes, including receipt, logging, tracking, and status reporting.
  • Manage as-built documentation collection and final turnover package assembly.
  • Ensure compliance with contractual documentation requirements and client standards.
  • Support audit readiness by ensuring all documents are traceable, complete, and properly filed.
  • Provide document status reporting to project leadership and support coordination meetings.
  • Coordinate interfaces with PMO, cost controls, scheduling, and field execution teams.

Qualifications & Skills

  • 5+ years of EPC document control / document management experience.
  • Experience on large-scale industrial or data center projects.
  • Proficiency with document management systems such as Aconex, Procore, SharePoint, BIM 360, or equivalent.
  • Proficiency with Excel-based tracking logs and reporting, and Power BI.
  • Strong understanding of submittal and RFI workflows and the engineering drawing lifecycle (IFC, IFB, As-Built) and revision control.
  • Familiarity with vendor/subcontractor document requirements, construction and commissioning documentation standards, and turnover/O&M manual requirements.
  • Experience managing documentation on projects exceeding $100M+ preferred.
  • Strong organizational, communication, and coordination skills, including the ability to communicate documentation risks, delays, and compliance gaps to project leadership.
