Job Summary:

This position is responsible for document control including the timely scanning, filling, and collection of all documents into the ATKG document management system. Responsibilities also include the preparation of engagement letters, cover letters, reports and other client communications as requested.  

What you'll be doing:  

  • Prepare cover letters and engagement letters.
  • New client setup (CCH, Teams, Litigation file).
  • Document intake and organization.
  • Send initial document requests to clients and attorneys according to the case schedule.
  • Follow up on missing documents proactively and on a defined schedule.  Escalate gaps to the case manager before the affect deadlines. 
  • Scan and accurately file all incoming documents.
  • Maintain and annotate document logs for discovery requests.
  • Maintain status of document requests.
  • Oversee production and discovery responses and timelines and communicate proactively with the litigation team.
  • Produce documents to attorney timely if documents are received directly from the client. 
  • Keep case managers and calendars up to date on new information and status changes. 
  • Organize and maintain case notes and files.
  • Proof and produce final reports (edit, print, bind, send, etc.)
  • Prepares exhibits and reports and other supporting documentation accurately and timely.
  • Maintains contact management system.
  • Acts as backup support to other administrative areas of the firm.
  • Other duties as assigned.

Requirements:  

  • High school diploma or GED.
  • Minimum 2 years of experience in a legal assistant role.
  • Basic understanding of family law and civil procedure is preferred.
  • Paralegal certification is a plus.
