Marketing Operations Manager - Upland, CA

About Us:

Lewis Group of Companies is one of the nation's largest privately held real estate development firms. With over 70 years of experience, we're committed to creating communities that thrive. We value honesty, long-term relationships, and high-quality standards that benefit our employees, residents, and the broader communities we serve.

Lewis is excited to recruit for an experienced Marketing Operations Manager to lead and strengthen our centralized marketing operations function. This highly collaborative role will help shape how marketing is planned, prioritized, resourced, measured, and delivered across the organization.

Note: This career is located at the Lewis corporate office in Upland, CA., Monday to Thursday, with Fridays remote.

Working closely with our Chief Marketing Officer, business-line marketing teams, business leaders, and centralized marketing specialists, you'll bring structure and visibility to a fast-moving environment-helping teams work more efficiently, reduce bottlenecks, and focus resources on the initiatives that matter most.

What You'll Do:

  • Lead the Marketing Operations team, establishing clear workflows, service expectations, accountability, and effective handoffs across centralized and business-line marketing teams.
  • Manage and develop your direct reports, setting priorities, balancing workloads, coaching performance, and supporting professional growth.
  • Establish individual and team goals, expectations and accountability and conduct regular 1:1s, performance reviews and development/succession planning.
  • Own the centralized marketing intake and prioritization process, balancing business needs, urgency, impact, timing, and available resources.
  • Partner with Marketing leadership to translate annual priorities, campaigns, launches, and major initiatives into coordinated work plans.
  • Develop scalable processes for project intake, briefing, approvals, timelines, handoffs, launch readiness, status reporting, and post-project learning.
  • Provide leadership with visibility into workload, capacity, deadlines, risks, budgets, vendor activity, and overall marketing performance.
  • Identify bottlenecks, duplicated efforts, and inefficient processes and lead improvements and automation that increase speed, quality, and team capacity.
  • Oversee shared marketing workflow systems, calendars, dashboards, templates, documentation, and reporting.
  • Establish effective vendor management processes, including scopes, approvals, utilization, invoices, payments, renewals, and vendor performance.
  • Support annual marketing planning, budget tracking, resource planning, and vendor spend management.
  • Develop meaningful metrics around turnaround time, workload, backlog, vendor utilization, delivery quality, and alignment with business priorities.

Skills for Success:

  • Bachelor's degree in Marketing, Business, Operations, Communications, or a related field preferred; equivalent relevant experience may be considered.
  • 7+ years of progressive experience in marketing operations, project management, marketing management, shared services, or a related field.
  • Demonstrated leadership experience with the ability to set priorities, balance team capacity, coach employees, and drive accountability.
  • Strong project management, process improvement, organizational, and change-management skills.
  • Experience managing marketing workflows, budgets, vendors or agencies, campaign operations, resource planning, and reporting.
  • Strong analytical skills with the ability to use data to evaluate workload, service levels, budgets, performance, and operational opportunities.
  • Experience with project management, workflow, CRM, marketing automation, CMS, analytics, or reporting platforms such as Asana, Monday.com, Smartsheet, Workfront, Trello, Jira, or similar tools.
  • Experience within a centralized or shared services marketing organization is preferred.
  • PMP, Agile, Lean, or other process-improvement experience is a plus, as is experience within real estate, property management, retail, hospitality, or another multi-location organization.

This is an excellent opportunity to join a nationally awarded and recognized, growing company with a strong history, a broad future, and positive corporate culture. In addition to a competitive annual salary ($140-$150k), Lewis offers annual bonus and raise eligibility, $100/month cellphone reimbursement, a variety of health benefits to choose from, a 401k with company match, and much more.
