Responsibilities
Under general supervision, the Radiology Scheduler provides compassionate, accurate, and timely support to patients by scheduling, confirming, canceling, and rescheduling radiology appointments across multiple imaging modalities. This Work from Home role serves as a primary point of contact for patient imaging needs within a high-volume contact center environment, requiring efficiency, strong critical thinking, and attention to detail while managing complex, high touch interactions and adhering to healthcare protocols.
The Radiology Scheduler is a key contributor within the Contact Center, combining advanced customer service skills with subject matter knowledge of radiology workflows, medical terminology, and multiple scheduling systems. The role requires ongoing training and cross training to build and maintain proficiency and accuracy across all radiology modalities, systems, and client specific workflows, while demonstrating understanding of and compliance with contact center performance metrics (including adherence, quality, attendance, and service levels) and maintaining all quality, performance, and privacy standards.
  • Handle complex patient interactions requiring independent reasoning, prioritization, and problem solving within defined workflows and escalation guidelines
  • Schedule, confirm, cancel, and reschedule radiology appointments across multiple modalities, including but not limited to:
    • Mammography / Breast Imaging
    • MRI
    • CT
    • Ultrasound
    • DEXA
    • Fluoroscopy
    • Other related imaging services
  • Accurately document all patient interactions, updates, and outcomes simultaneously in designated CRM and scheduling systems
  • Serve as a knowledge resource for patients by addressing questions related to imaging procedures, preparation instructions, provider orders, and general radiology information
  • Demonstrate professionalism, empathy, and accuracy in all interactions, including those involving sensitive medical or insurance information
  • Confirm and document insurance information according to established guidelines and client protocols
  • Review and validate imaging orders and recommendations; coordinate with providers and clinical partners as needed
  • Make outbound calls to schedule, follow up, or resolve imaging appointment needs
  • Comply with HIPAA, confidentiality requirements, call center metrics, and organizational policies at all times
  • Participate in regular coaching, quality reviews, and performance improvement activities
  • Remain flexible to support varying clients, departments, or workflows based on business needs
  • Perform additional duties as assigned

Qualifications
  • High School diploma or GED required
  • Minimum of six (6) months of experience in a Work from Home customer service, scheduling, healthcare, & call center environment required.Understanding of and compliance with contact center performance metrics (e.g., adherence, quality, attendance, service levels)
  • Ability to type at least 35-40 words per minute
  • Proficiency with Windows based systems and Microsoft Outlook, Word, and Excel
  • Experience or ability to learn multiple systems simultaneously, including CRM, scheduling platforms, and client specific tools
  • Strong problem solving, multitasking, organizational, and communication skills
  • Working knowledge of medical terminology and healthcare processes is preferred
  • Ability to accept and implement feedback and adapt to change

Flexibility to work assigned schedules, including evenings, weekends, or holidays as required
