Regulatory Affairs Specialist (Remote - Texas)


Position Overview

A growing specialty chemical distribution company is seeking a highly organized and detail-oriented Regulatory Affairs Specialist to join its team. This position plays a critical role in supporting regulatory compliance, supplier management, product documentation, and supply chain operations. The successful candidate will have experience working with regulatory documentation, supplier relationships, and supply chain processes, preferably within the chemical, personal care, cosmetic, pharmaceutical, or related industries.


Key Responsibilities

Regulatory Affairs & Documentation

  • Maintain knowledge of regulations affecting chemical distribution and product declarations within applicable industries
  • Prepare, review, and update regulatory documentation, quality declarations, supplier qualification documents, and standard operating procedures (SOPs)
  • Manage registrations and communications with regulatory agencies as required
  • Monitor changing regulatory requirements and identify documentation needs proactively
  • Support product quality investigations and coordinate issue resolution
  • Ensure documentation is accurate, current, and readily accessible

Supply Chain & Vendor Management

  • Obtain supplier quotations and maintain current pricing within company systems
  • Monitor supplier pricing trends and identify opportunities for cost savings
  • Research and qualify new suppliers and ingredient sources
  • Negotiate pricing and terms with vendors
  • Evaluate supplier performance and recommend improvements or alternatives
  • Coordinate supplier onboarding and relationship management activities

Database & Process Management

  • Maintain supplier and product information within company databases
  • Assist with database updates, data integrity initiatives, and process improvements
  • Monitor data quality and recommend enhancements to improve operational efficiency
  • Identify opportunities to streamline workflows and strengthen internal controls

Sales & Business Support

  • Partner with the sales team to ensure timely delivery of customer quotations
  • Assist with business development initiatives and supplier sourcing efforts
  • Support special projects, market research, and growth initiatives
  • Collaborate with cross-functional teams to support strategic business objectives

Administrative Support

  • Draft and edit correspondence, reports, presentations, and business documents
  • Maintain organized records and documentation
  • Assist with special projects and additional responsibilities as assigned

Qualifications

  • 2+ years of experience in Regulatory Affairs, Regulatory Compliance, Supplier Management, Supply Chain, Quality Assurance, or a related field
  • Experience working directly with vendors, suppliers, regulatory agencies, or compliance programs
  • Experience in the chemical, personal care, cosmetics, pharmaceutical, ingredient distribution, manufacturing, or related industries preferred
  • Experience working within a small business or entrepreneurial environment preferred
  • Strong proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint
  • Experience working with databases, ERP systems, or product management systems is a plus
