This is not a learning position โ€“ the ideal candidate has already operated in the trenches of Personal Injury and knows how to make every part of the organization run efficiently. We are looking for a high-performing Chief Operating Officer that will act as Second-in-Command to the Chief Executive Officer.

Responsibilities:

  • Acting as a senior leader providing strategic direction alongside the CEO, positioned as the second in command within the organizational hierarchy.
  • Overseeing and Optimizing the Operating Procedures for the following departments: Administration, Operations, and Marketing, ensuring cohesive operation and alignment with the firm's goals.
  • Clear communication and direction to management staff to ensure all departments are clear on the firmโ€™s strategies and goals.
  • Developing, implementing, and overseeing operational policies and procedures that meet the unique needs of the firm.
  • Creating and managing budgets to ensure the firm's financial health and sustainability.
  • Managing financial operations, including bookkeeping, accounts receivable, and accounts payable, emphasizing adherence to legal industry standards.
  • Initiating process improvements by evaluating and implementing software and tools to boost efficiency and client satisfaction.
  • Forecasting future operational needs and strategically planning to address them.
  • Supervising and evaluating the performance of both internal staff and external vendors to uphold the firm's high standards.
  • Defining, implementing, and tracking Key Performance Indicators (KPIs) for all operational and departmental activities to measure efficiency, financial health, client satisfaction, and the overall success of the firmโ€™s strategic initiatives.
  • This role will also involve close collaboration with the HR department to identify talent needs, optimize hiring practices, and foster a culture that attracts and retains top legal and administrative professionals.

Skills & Competencies:

  • Strong strategic thinking with the ability to translate high-level goals into actionable operational plans.
  • Data-driven decision maker with strong analytical and problem-solving capabilities.
  • Demonstrates ability to build and scale hybrid operational infrastructure in a growing organization.
  • Extensive experience in a senior leadership role within the legal sector, ideally as a Chief Operating Officer with a minimum of 7 years of Personal Injury experience.
  • Strong technical understanding of Filevine, Lead Docket, Ring Central, and Call Rail ready to fix technical issues and implement solutions to enhance the firmsโ€™ legal service delivery.
  • Exceptional leadership abilities to inspire, manage, and develop high performing team across various departments.
  • Deep knowledge and management experience with complex financial operations in the legal field.
  • Proven track record in legal industry standards for accounting, human resources, communication, recruitment, and strategic planning.
  • Advanced forecasting skills, foreseeing operational challenges, and planning accordingly.
  • A history of successful supervision and enhancement of staff performance, ensuring alignment with the firm's service standards and professional excellence.

Education:

  • Bachelorโ€™s degree from an accredited four-year college or university in Finance, Business Administration, or related field.
  • Master's degree (MBA or equivalent) is highly desirable.

Experience:

  • 7+ years of progressive leadership experience in a senior or executive operations role in the legal industry.
  • Prior experience in a personal injury or plaintiff-side law firm is strongly preferred;
  • Demonstrated success leading hybrid teams of 25+ employees across multiple departments.
  • Proven track record of implementing operational strategies that have resulted in measurable growth and efficiency gains.
