Job description

This position is part of the Investment Advisory Operations (IA Ops) team and serves as a primary operational resource for managed account programs. The role provides support to advisors, field partners, vendors, and internal brokerage teams through operational expertise, problem resolution, and service execution.
The IA Ops team is accountable for answering incoming phone calls/chats/emails, processing managed account related updates, supporting rebalances, and generating and analyzing reports. This team member will develop a strong understanding of managed account products (SMA/UMA/APM/FSP) and a strong grasp of managed account related concepts (Tax Overlay, DCA, Block Trades, Fee Based Billing). The ideal candidate will leverage this knowledge to provide operational guidance, resolve issues, and support the successful implementation and ongoing management of advisory solutions.Job Duties and Responsibilities
  • Serve as a primary operational resource for managed account programs by responding to advisor and internal inquiries through phone, chat, and email channels.
  • Process managed account maintenance requests, account updates, rebalances, and other operational activities accurately and efficiently.
  • Develop and maintain subject matter expertise in managed account platforms, products, and operational processes.
  • Partner closely with Envestnet and other external vendors to resolve issues, support platform enhancements, and improve the advisor experience.
  • Assist advisors in implementing investment management strategies by leveraging third-party money managers and available managed account solutions.
  • Monitor, analyze, and resolve operational inquiries while meeting established service level expectations and quality standards.
  • Document advisor, vendor, and custodian communications within Salesforce and other designated systems.
  • Stay current on operational policies, procedures, regulatory requirements, and platform enhancements impacting managed account programs.
  • Test, learn, and support the implementation of new managed account functionality and enhancements before release to the field.
  • Maintain working knowledge of brokerage and advisory systems, including Envestnet, Wealthscape, FBSI, and Thrivent proprietary applications.
  • Build and maintain strong working relationships with advisors, internal business partners, custodians, and external vendors.
  • Generate and analyze reports to support business operations, service delivery, and platform management.
  • Contribute to team success by collaborating with peers, providing operational coverage, and supporting departmental initiatives.


Required Job Qualifications

  • High school diploma or equivalent required.
  • 1-2 years of experience in financial services, brokerage operations, advisory operations, or a related field.
  • FINRA Series 7 and 63/65 or 66 licenses required, or the ability to obtain required licenses within 90 days of hire.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office applications, particularly Excel and Word.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities and adapt in a fast-paced environment.
  • Strong problem-solving and analytical skills with a focus on delivering exceptional service.

Preferred

  • Bachelor's degree or equivalent combination of education and relevant experience.
  • 3+ years of customer service experience and 2+ years of experience within a brokerage, advisory, or wealth management environment.
  • Experience supporting managed account programs and platforms.
  • Familiarity with Envestnet, NFS/Fidelity, Wealthscape, NetX360, or similar wealth management systems.
  • Experience training or educating advisors, financial professionals, or staff.
  • Call center or service operations experience.
