Job description

POSITION DESCRIPTION: The Admin Support Specialist shall be available during business hours to proactively interact with customers. Administrative support activities include general administrative duties, reporting, distribution, training coordination, travel arrangements, time and attendance, and official organizational functions.
The primary place of performance is located at IBC AQD Herndon Office, 381 Elden Street, Herndon, VA 20170. However, remote and offsite support may be considered.
WORK CONTEXT
Most AQD Government employees are and will most likely continue to be in a full-time remote status or a maximum telework status. Contractor employees may propose that their resources be on-site in Herndon, offsite at a Contractor selected location, remote, or a hybrid of locations that best supports the Contractor's approach to meet the requirements successfully. Contractor resources assigned under this Task Order shall physically work in the location status as proposed by the Contractor and approved at Task Order award. The COR must approve location changes. If assigned to the Herndon office, contractor resources should plan to be physically present at the Government site during their duty day. However, Contractor resources that are in a remote status shall work in those designated locations during their duty day. Remote Contractor resource locations will only be considered from the fifty (50) United States and official U.S. territories.
PRIMARY JOB DUTIES
Administrative services support to include, but not limited to, the following:
Perform administrative duties, which include monitoring internal general e-mail boxes and responding to employee questions, hoteling space management, answering telephone calls, scheduling and maintaining appointment calendars, preparing non-technical correspondence, printing and copying documents, supporting records management, supporting forms management, filing, and data entry into automated systems or spreadsheets and monitoring general office supplies and submit requests for items running low.
Collect, track, maintain, and update data and prepare ad hoc and recurring reports as required. Develop informational materials and assemble information to be used for reports or responses to inquiries. Prepare briefing charts, type and process technical and status reports, and provide assistance for special projects or reports.Coordinate shipments of items to and from the duty station. Send, receive, and distribute mail and package deliveries throughout the duty station.
Assist the training coordinator with performing training coordinator functions, including but not limited to preparing training reports, sending calendar invites, creating sign-ups, and inputting required data in training request forms.
Prepare and process travel documents, including developing cost estimates, preparing travel authorizations/vouchers, reviewing travel authorizations/vouchers for compliance with the Federal Travel Regulations (FTR), tracking travel authorizations/vouchers to ensure they are submitted and approved timely, and distributing general travel guidance internally as necessary.
Assist with processing timesheets, initiating new user account setup, responding to timekeeping inquiries, and distributing general timekeeping guidance internally as required by the Government.
Support and assist with the planning, preparation, set-up, and breakdown/clean-up of official organizational functions. Functions may include but are not limited to on and off-site meetings, showcases, training sessions, and team-building events.
EDUCATION & EXPERIENCE
Applicants must possess a High School Diploma or GED as a minimum requirement.
Bachelor's degree is preferred.
At least four years of experience performing routine administrative and clerical functions is required.
KNOWLEDGE, SKILLS, & ABILITIES
Duties include but are not limited to:
Answering and routing phone calls and inquiries to proper points of contact, word processing, preparing written correspondences, filing, records management, scheduling, and calendar management, coordinating travel arrangements, summarizing and reporting information from source documents, organizing and facilitating meetings, recording meeting minutes, and tracking documents.
Experience should demonstrate creativity, foresight, professionalism, and mature judgment in anticipating and solving administrative problems.
Experience should demonstrate an ability to communicate with a high variety and volume of people daily.
Experience should demonstrate a working knowledge and skill in using standard business office software programs and general office-related technologies and equipment.
Specialized experience should demonstrate an ability to arrange government travel, including preparing travel orders and travel vouchers, managing time and attendance, and effectively organizing and facilitating meetings for 10 100 people.
