What is a remote bookkeeper?

Remote bookkeepers are financial professionals who manage and record a business’s financial transactions from a location outside of the client’s office, often working from home or another remote setting. They use online accounting software and digital communication tools to track income, expenses, payroll, and reconcile accounts. This allows businesses to maintain accurate financial records without needing an in-house bookkeeper. Remote bookkeeping is popular with small businesses seeking flexibility and cost savings. The work is typically organized, detail-oriented, and requires strong communication skills.

What does a remote bookkeeper do?

Remote bookkeepers are responsible for some or all of the financial accounts for their employer or client. They may work independently or within a department to manage all accounts payable and accounts receivable within the organization, depending on the size and needs of the company. Unlike bookkeepers who work in the office, remote bookkeepers work from home or another location of their choice with a Wi-Fi connection. They may be on the staff at the company, or they may be self-employed. Their job duties include recording all transactions, posting debits and credits into a general ledger, and producing financial statements and other reports for the management of the company. A remote bookkeeper also reconciles reports and checks files for accuracy.

What are the key skills and qualifications needed to thrive as a remote bookkeeper, and why are they important?

To thrive as a Remote Bookkeeper, you need a solid understanding of accounting principles, attention to detail, and proficiency in bookkeeping, often supported by a degree in accounting or a bookkeeping certification. Familiarity with accounting software such as QuickBooks, Xero, and cloud-based document management systems is typically required. Strong organizational skills, independence, and effective communication are essential soft skills for managing tasks remotely and collaborating with clients. These abilities ensure accurate financial recordkeeping, compliance, and reliable support for clients or businesses in a virtual environment.

What are some common challenges faced by remote bookkeepers, and how can they be addressed?

Remote bookkeepers often encounter challenges such as maintaining clear communication with clients, managing time effectively across different projects, and staying updated with evolving accounting software. To address these, it's crucial to establish regular check-ins with clients, use project management tools for organization, and continuously improve technical skills through online training. Additionally, setting up a secure and distraction-free workspace helps ensure accuracy and confidentiality in financial recordkeeping.

Remote Executive Assistant / Operations Coordinator

Laguna Beach, CA • Remote

Full-time

Job description

We're hiring an Executive Assistant / Operations Coordinator to keep our leadership team organized and our operations running smoothly as we sprint toward public launch.

Summary
  • Flexible Title: Can tailor to reflect your skills & experience.
  • Flexible Time: Can do full-time, part-time, side-gig (off-hours), or fractional (contract).
  • Flexible Commitment: Can do short-term, long-term, or intermittent.

Why so flexible? We're a FUNDED startup racing to launch end of Q3 2026. That gives us just 3 months to stack features while raising additional working capital. Feel free to jump in, help us ship, then bounce >> or stick around. A successful launch translates into lots of permanent jobs for those that want them. We're also interested in long-term "side gig" relationships, if that's what you're into—in our experience, a few expert hours often beat full-time learning-curve hours.

About Us

We're a credible, funded, remote-first startup backed by a growing team. We're pre-launch and moving fast.

About The Role

Startup founders are busy. Ours are no exception — they're juggling product, fundraising, hiring, partnerships, and a dozen fires at once. What they need is someone who can take the operational chaos off their plate so they can focus on the work that moves the company forward.

This is part EA, part ops coordinator, part "make sure nothing gets dropped." You'll manage calendars, coordinate across teams, keep projects on track, handle logistics, and generally be the person who makes sure the machine runs. If you're the type who gets satisfaction from bringing order to chaos, this is your role.

Compensation

Up to $75,000 max total annual compensation in Tier 1 cities; cash and equity components to be negotiated. Given the flexible commitment model, comp will be structured accordingly — fractional or hourly arrangements welcome.

What You'll Do in Your First 7 Days
  • You've gotten access to calendars, project tools, and communication channels
  • You've met the leadership team and understand their priorities, schedules, and working styles
  • You've taken ownership of calendar management and started coordinating meetings
  • You've identified at least one operational bottleneck and started cleaning it up
  • The team knows who you are, why you're here, and how you'll work together
What You'll Do Ongoing
  • Manage executive calendars — schedule, reschedule, protect time blocks, and make sure leadership shows up prepared
  • Coordinate across teams — keep communication flowing between departments so nothing falls through the cracks
  • Track projects and deadlines — maintain project trackers, follow up on action items, and flag things that are slipping
  • Handle logistics — travel, events, vendor coordination, and the random operational tasks that come with a startup
  • Prepare materials — pull together decks, agendas, notes, and summaries so meetings are productive
What We're Looking For

Must-haves:

  • 2+ years as an executive assistant, operations coordinator, chief of staff, or similar role
  • Extremely organized — you manage multiple priorities without dropping balls
  • Strong written and verbal communication — you represent leadership professionally
  • Proactive — you anticipate needs before being asked
  • Comfortable with tools like Google Workspace, Slack, Notion, or similar project management platforms

Nice-to-have:

  • Experience supporting founders or C-suite in a startup environment
  • Familiarity with basic bookkeeping, HR coordination, or vendor management
  • Comfortable in fast-moving, ambiguous environments
What You're NOT
  • Not an office manager — we're fully remote; this is coordination, not facilities
  • Not a personal assistant — this is professional support, not errands
  • Not a project manager — you'll track projects, but you're not owning strategy or roadmap
