The Role

We're hiring an Operations Specialist to serve as the analytical and systems backbone of our Tax Operations function. Reporting to the Chief of Tax Operations, you'll own the operational reporting infrastructure that makes our performance visible, trustworthy, and predictive.

This isn't a back-office admin role. You'll build the capacity models, dashboards, and data pipelines that drive real decisions; how we allocate work, where we invest, and when to act before a problem becomes visible to clients. Leadership focuses on coaching and strategy; you ensure they're working from numbers they can trust.

You'll do this work primarily in HubSpot, which is our operational platform. You should be deeply comfortable building reports, managing properties, and navigating workflow logic inside HubSpot. If you've done similar work in Salesforce or another enterprise CRM, we're open to that, but HubSpot proficiency is a strong advantage and you'll need to get fluent fast.


What You'll Own

Capacity & Forecasting- Maintain a true weekly capacity projection that accounts for team ramp-up periods, PTO, and seasonal volume shifts, giving leadership a reliable intake planning tool year-round.

KPI Dashboards & Data Integrity- Build and maintain the dashboards that track turnaround time, workflow pacing, and service mix. You're accountable for the accuracy of the underlying data - if the numbers are wrong, decisions are wrong.

Operational Visibility - Ensure that Tax Ops performance is measurable (accurate KPIs with clean definitions), visible (accessible to every cross-functional partner who needs them), and predictive (surfacing pressure points before they arrive, not after).

Trend Analysis & Anomaly Detection - Monitor data patterns to identify inefficiencies, training needs, or emerging bottlenecks. Deliver weekly performance snapshots with context, not just charts.

Data Hygiene & Systems Ownership - Own the accuracy of team member records, CRM properties, and scheduling data so that workload distribution reflects reality.


What You Bring

Systems & CRM depth - 3-5 years building reports, managing properties, and maintaining data integrity inside HubSpot or a comparable enterprise CRM (Salesforce is a close second). You understand how CRM architecture translates into operational decisions.

Analytical rigor- You're methodical and organized, with the confidence to flag data discrepancies and improve model accuracy over time. You don't ship a dashboard until you trust every number on it.

Operational context - You've worked in a fast-paced, scaling environment - professional services, SaaS operations, logistics, consulting, or any high-volume service delivery business. You understand what it means to build operational infrastructure that a team depends on daily.

AI & automation fluency - You're energized by evolving systems and comfortable working alongside AI tools to maintain and improve automated workflows.

Clear communication - Fluent in English, with the ability to deliver accurate data insights to cross-functional partners who may not be technical. You translate numbers into decisions.


You Don't Need

Tax industry experience. If you've built operational reporting systems in any high-volume professional services or service delivery environment, you have the transferable skills. A fresh perspective from outside tax is a feature, not a gap.
