Accounts Receivable Specialist
Position Overview
Market My Market is a fast-growing marketing agency onboarding roughly 20 new clients per month and billing over $1M in recurring revenue monthly. As we scale, we are hiring a full-time Accounts Receivable Specialist to own the full billing and collections lifecycle. This role is responsible for processing subscriptions, payment links, and invoices in HubSpot Commerce, reconciling HubSpot against QuickBooks, communicating with clients on billing concerns and adjustments, and supporting forecasting, reporting, and process efficiency. This is a remote position, and the Specialist must be available to work Eastern Time Zone business hours.
Key Responsibilities
Billing & Payments
  • Set up and manage recurring subscriptions in HubSpot Commerce
  • Create and send payment links and generate invoices at scale
  • Apply incoming payments and resolve failed or declined transactions
  • Follow up on past-due balances and manage collections
  • Process prorations, credits, refunds, upgrades, downgrades, and one-off charges accurately and on time

Reconciliation & Accuracy
  • Reconcile HubSpot Commerce activity against QuickBooks to ensure transactions, payouts, and balances match
  • Investigate and resolve discrepancies between platforms
  • Maintain clean, accurate, audit-ready financial records
  • Keep the receivables ledger current and reflective of real-time client activity

Client Communication
  • Serve as the point of contact for client billing questions, concerns, and disputes
  • Communicate professionally and promptly to resolve billing issues
  • Coordinate adjustments and payment arrangements while protecting the client relationship
  • Partner with Client Experience Managers and leadership to resolve escalations

Forecasting, Reporting & Efficiency
  • Support revenue forecasting and cash-flow projections
  • Build and maintain AR reporting, including aging, and collections
  • Deliver clear, accurate reports to leadership on a regular cadence
  • Identify and implement efficiencies and automation to keep billing and reconciliation processes scalable as volume grows

Qualifications
  • Hands-on experience with the HubSpot Commerce platform, including processing subscriptions, payment links, and invoices (required)
  • Proven experience reconciling billing platforms against QuickBooks
  • 4+ years in accounts receivable, billing, or a similar finance operations role
  • Comfortable managing high transaction volume in a fast-paced, high-growth environment
  • Strong written and verbal communication skills for client-facing interactions
  • Meticulous attention to detail and strong organizational habits
  • A process-improvement mindset with the ability to spot and fix inefficiencies
  • Available to work full-time on Eastern Time Zone business hours

Preferred Qualifications
  • Experience in an agency or subscription/SaaS billing environment
  • Familiarity with reporting or automation tools (e.g., advanced Excel/Sheets, BI dashboards)
