Job description

Overview

We are seeking a detail-oriented and customer-focused Client Coordinator to support our Workers’ Compensation team. This role is responsible for managing case workflows, coordinating with healthcare providers, and ensuring accurate documentation and compliance throughout the review process.

This is a fully remote position within a fast-paced, growing environment.


Key Responsibilities
  • Respond promptly to inquiries from clients, providers, and other stakeholders regarding case status, reports, and general requests
  • Process workers’ compensation referrals, including organizing, reviewing, and submitting medical documentation
  • Identify and coordinate with appropriate physician specialists within a provider network
  • Ensure accuracy and completeness of case files, including removal of sensitive patient identifiers when required
  • Maintain and update data within internal systems and client portals
  • Track case progress and communicate with Quality Assurance teams on workflow and report status
  • File, archive, and document both open and closed cases
  • Assist in resolving customer concerns and escalating issues when needed
  • Perform general administrative tasks such as data entry, emailing, proofreading, and filing
  • Adhere to all regulatory, legal, and company compliance standards

Day-to-Day Responsibilities
  • Manage incoming workers’ compensation cases and process them through internal systems
  • Coordinate with physician contractors to complete medical reviews
  • Review documentation for accuracy and compliance before submission
  • Communicate with provider offices as needed to obtain or clarify information
  • Handle a high-volume workflow averaging approximately 3 cases per hour, along with related administrative tasks

Qualifications
  • 2+ years of administrative experience in healthcare, insurance, or employer benefits (workers’ compensation experience strongly preferred)
  • Understanding of compliance, documentation standards, and regulated environments
  • Experience with workers’ compensation processes or familiarity with related clients (e.g., third-party administrators) is a plus
  • Strong data entry, organizational, and communication skills
  • Proficiency with Microsoft Office/Windows-based systems
  • Ability to work independently in a fast-paced environment

Schedule
  • Training: Monday – Friday, 8:00 AM – 4:30 PM CST (approximately 2–4 weeks)
  • Post-training: Monday – Friday, 10:30 AM – 7:00 PM CST

Compensation
