Position Overview

The Transportation Specialist is responsible for providing safe, professional, and efficient transportation services for dealership guests, guests’ vehicles and dealership vehicles. This position is fully cross trained to perform guest shuttle transportation, service pickup and delivery, and rental vehicle transportation. Transportation Specialists are expected to adapt to changing priorities throughout the day while delivering an exceptional guest experience.

Key Responsibilities

 Guest Transportation

  • Safely transport guests between the dealership and their homes, workplaces, or other approved destinations.
  • Provide courteous, professional service during every interaction.
  • Assist guests entering and exiting vehicles when appropriate.
  • Maintain confidentiality and professionalism while transporting guests.

 Transportation Technology & RedCap

  • Utilize RedCap software to manage assigned pickup and delivery appointments.
  • Review transportation assignments and appointment details before departing.
  • Update appointment statuses in RedCap throughout the transportation process.
  • Verify guest contact information, pickup locations, and appointment times.
  • Communicate delays or schedule changes through established procedures.
  • Ensure all transportation activities are accurately documented in RedCap.
  • Capture required information and complete all electronic documentation according to dealership standards.
  • Notify the Transportation Manager or Lead Transportation Specialist immediately of scheduling conflicts, guest concerns, or system discrepancies.
  • Maintain proficiency with RedCap and other dealership technology utilized by the Transportation Department.

 Vehicle Pickup & Delivery

  • Pick up guest vehicles from designated locations for scheduled service appointments.
  • Deliver serviced vehicles to guests promptly upon completion.
  • Complete required inspections before and after every pickup or delivery.
  • Verify vehicle condition and document any existing damage.
  • Obtain all required signatures and documentation.

 Rental Vehicle Transportation

  • Transport rental vehicles between dealership locations and designated storage areas.
  • Deliver rental vehicles to guests when applicable.
  • Ensure rental vehicles are fueled, clean, and properly staged.

Daily Operations

  • Review assigned transportation appointments within RedCap at the beginning of each shift.
  • Monitor schedule changes and newly assigned transportation requests throughout the day.
  • Keep RedCap appointment statuses current to provide accurate information to management and guests.
  • Complete all required electronic documentation before closing transportation assignments
  • Review assigned transportation requests.
  • Communicate arrival times and status updates.
  • Maintain accurate transportation records.
  • Immediately report delays, accidents, traffic concerns, or guest issues.
  • Adapt to changing priorities throughout the day.

 Vehicle Care

  • Maintain clean interior and exterior conditions on transportation vehicles.
  • Perform daily vehicle inspections.
  • Report maintenance concerns immediately.
  • Fuel vehicles as necessary.

Customer Service Expectations

  • Deliver every guest interaction with professionalism and courtesy.
  • Create a welcoming and comfortable transportation experience.
  • Communicate clearly regarding pickup and arrival times.
  • Demonstrate patience, empathy, and a guest-first attitude.
  • Represent the dealership positively in the community.

Safety Responsibilities

  • Operate all vehicles safely and defensively.
  • Follow all traffic laws and dealership policies.
  • Wear seat belts at all times.
  • Maintain an acceptable driving record.
  • Report accidents or incidents immediately.
  • Never operate a vehicle under unsafe conditions.

Qualifications

  • High school diploma or equivalent preferred.
  • Valid driver's license with an acceptable driving record.
  • Ability to operate automatic and manual transmission vehicles preferred.
  • Excellent customer service and communication skills.
  • Strong time management and organizational skills.
  • Professional appearance and demeanor.
  • Ability to work independently with minimal supervision.
  • Familiarity with the local area and navigation systems.

Physical Requirements

  • Frequently enter and exit vehicles.
