Job description

Location: Kansas City (Lenexa, KS Headquarters)

This role requires local residency in the Kansas City area. Sponsorship is not available. No C2C or outside agencies.

About the Role

At Keyhole Software, recruiting isn't about filling seats—it's about finding exceptional people who will become trusted teammates and consultants for years to come.

As our Recruiting & Operations Coordinator, you'll help shape the growth of our company by identifying outstanding talent while contributing across recruiting, operations, employee experience, marketing, and business initiatives. No two weeks look alike. One day you might be interviewing candidates; the next you could be planning an employee event, creating marketing content, answering HR questions, or improving an internal process. If you enjoy variety, solving problems, and wearing multiple hats, you'll thrive here.

This isn't a high-volume recruiting role. We focus on quality over quantity, hiring people who align with our culture and want to build long-term careers. You'll help us grow our team of software developers and architects across Kansas City, St. Louis, Denver, Omaha/Lincoln, and Dallas. Technical recruiting experience isn't required—we can teach that.

At Keyhole, relationships are everything. We're looking for someone who naturally connects with people, communicates with warmth and professionalism, and enjoys helping others succeed. Many of our employees have been with us for 5, 10, or even 15 years because we intentionally hire collaborative, curious, and humble people who want to build a career—not simply find their next job.

Because this role touches nearly every part of the company, you'll gain experience in recruiting, HR, operations, marketing, business development, and executive leadership. It's an excellent opportunity for someone who enjoys learning, taking ownership, and making a meaningful impact.

What You’ll Do

Recruiting

Hiring exceptional consultants is one of the most important things we do. Every person we hire represents Keyhole on client projects, contributes to our culture, and influences our long-term success. That's why we invest so much time in getting it right.

  • Identify and connect with exceptional software professionals through LinkedIn, Indeed, referrals, networking, and other channels.
  • Build long-term relationships with software consultants across our markets.
  • Guide candidates through a thoughtful, transparent interview process from first conversation through offer.
  • Help candidates determine whether Keyhole is the right long-term fit—not just whether they can do the job.
  • Review resumes, conduct interviews, and provide hiring recommendations.
  • Share accurate information about Keyhole's culture, benefits, and career opportunities.
  • Stay connected with talented professionals even when the timing isn't right.

Operations & Business Support

You'll also help support the day-to-day operations that keep Keyhole running smoothly.

  • Support HR and employee operations, including profile and resume updates, background checks, employee file maintenance, benefits questions, and open enrollment support.
  • Coordinate employee engagement activities, lunch-and-learns, professional development opportunities, and internal events.
  • Assist with special projects that improve how Keyhole operates.
  • Provide administrative support, documentation, and assistance with company-wide projects.
  • Help maintain a welcoming, organized office by managing supplies, inventory, seasonal décor, and shared workspaces.
  • Contribute to marketing initiatives by creating content for social media, blogs, the company website, and internal communications.
  • Create and update engaging visual content (e.g., social media graphics, presentations) using online design tools such as Canva
  • Leverage AI tools such as ChatGPT and other emerging technologies to improve recruiting, streamline operations, create marketing content, and continuously find better ways to work. Curiosity about AI and a willingness to learn new technology are important in this role.

Balance of Responsibilities

This is a dynamic role that regularly shifts between recruiting, operations, HR, marketing, and business initiatives. We trust our employees to take ownership, improve processes, and bring new ideas forward. If you enjoy finding better ways to do things, your ideas will be welcomed here.

What We’re Looking For

We're looking for someone who is proactive, adaptable, and genuinely enjoys helping people.

The ideal candidate:

  • Enjoys meeting new people and building lasting relationships.
  • Notices problems before others do and naturally steps in to help.
  • Thrives in a role with variety rather than repetitive routines.
  • Takes ownership and follows through without needing constant direction.
  • Communicates with warmth, confidence, professionalism, and attention to detail.
  • Takes pride in producing polished written communication and professional work.
  • Enjoys learning new tools—including AI—and continuously improving how they work.
  • Can successfully balance multiple priorities while staying organized and calm.
  • Handles confidential information with discretion and integrity.
  • Brings ideas, curiosity, and a team-first mindset to everything they do.

Qualifications

  • Bachelor's degree required. Individuals who have been successful in this role have had a educational background including communication, business, and marketing backgrounds.
  • Two or more years of experience in a professional, customer service, sales, retail, hospitality, or similar relationship-focused environment.

Nice to Have (Not Required)

  • Experience in recruiting, HR, or operations support.
  • Experience using Canva, Slack, ChatGPT, and social media tools.
  • Interest in technology or working in a software consulting environment.
  • Experience creating professional written communications as part of your job (emails, documentation, marketing content, job postings, etc.)

Role Details

  • Type: Full-time, permanent
  • Location: Keyhole Software HQ in Lenexa, KS (hybrid schedule available; office open daily for those who prefer 100% on-site)
  • Hours: Monday–Friday, 8:00 AM – 5:00 PM
  • Travel & Events: Travel is required up to two times per year (with advanced notice) to attend regional conferences. Attendance is requested at occasional after-work events (family picnic, holiday party, employee engagement events, or sponsored user group events), no more than once per month.

Compensation & Benefits

Compensation is competitive and based on experience, qualifications, and overall fit. Benefits include:

  • Medical, dental, and vision insurance
  • Life insurance, short- and long-term disability, and Aflac coverage
  • 401K with 3% discretionary company match

What Success Looks Like

Within your first year, you'll have:

  • Built meaningful relationships with software professionals across our markets.
  • Helped hire exceptional consultants who strengthen our team.
  • Become a trusted resource for employees across the company.
  • Contributed to recruiting, operations, HR, marketing, and employee engagement initiatives.
  • Used AI and automation to improve processes and help our team work more effectively.
