Job description

Location: Waltham, MA (Hybrid In Office 3 days a week)

ERGO NEXT's mission is to help entrepreneurs thrive. We're doing that by building the only technology-led, full-stack provider of small business insurance in the industry, taking on the entire value chain and transforming the customer experience.

Simply put, wherever you find small businesses, you'll find ERGO NEXT.

Since 2016, we've helped hundreds of thousands of small business customers across the United States get fast, customized and affordable coverage. We're backed by industry leaders in insurance and tech, and we still have room to grow - that's where you come in.

About the Role:

As our Recruiting Operations & AI Enablement Specialist, you'll be the guardian of our Greenhouse ecosystem and the engine that powers our hiring efficiency across a global TA team. You'll bridge the gap between recruitment strategy and technical execution, ensuring every tool, process, and data point works in harmony as we scale.

In this role, you'll also serve as our internal AI champion for Talent Acquisition - leveraging AI and automation to eliminate manual work and drastically improve operational output for recruiters and hiring partners across our global teams.

This is a newly created role and a chance to build the function from the ground up. As our hiring scales, we see this evolving into a broader systems and enablement function, with real growth potential for the right person.

What You'll Do:

  • Greenhouse Ecosystem Leadership: Own the end-to-end administration of Greenhouse, including managing user permissions, job board configurations, custom field mapping, and offer letter generation.
  • AI-Driven Workflow Optimization: Audit and optimize recruitment workflows to eliminate bottlenecks. Design and deploy practical AI solutions to assist with recruiting workflow, candidate communications, and automated pipeline updates using tools like Claude (preferred)
  • Advanced Analytics & Dashboards: Build and maintain recruiting dashboards within Greenhouse to track essential metrics. Apply AI tools to analyze data and surface predictive insights for the TA team.
  • Tech Stack Integration: Act as the primary point of contact for our Recruiting Tech Stack, ensuring seamless integrations between Greenhouse and our HRIS, Slack, sourcing tools, and AI-based recruitment platforms.
  • AI Enablement & Training: Lead standardization of interview plans for a consistent candidate and brand experience. Provide training and documentation for recruiters and hiring managers to drive platform adoption, data integrity, and best practices in AI tool usage.
  • Coordination Support: Support interview coordination as needed, using AI scheduling assistants to maximize speed and efficiency.

What We Need:

  • 3+ years of experience in Talent Acquisition Operations, Recruiting Systems, or a similar data-centric HR role, ideally at a high-growth or tech-enabled company.
  • Deep Greenhouse ATS Expertise: Hands-on experience with administration, advanced reporting, and system integrations. Greenhouse certification a plus.
  • Genuine AI Fluency: Demonstrable, hands-on experience using generative AI tools (ChatGPT, Claude, Gemini) to automate repetitive tasks and build scalable HR workflows. You have a builder mentality - you translate vague problems into working solutions quickly.
  • Data-First Mindset: High proficiency in Google Sheets (pivot tables, complex formulas, data visualization) and a sharp eye for catching data discrepancies before they become reporting problems.
  • Process-Improvement Lens: Strong organizational skills and a genuine passion for finding inefficiencies and designing solutions to fix them.
  • Exceptional Communication Skills: The ability to translate technical requirements and AI capabilities into simple, clear guidance for non-technical stakeholders.
  • Comfort working across time zones with a distributed team (US and Israel).
