The Opportunity
ConvenientMD is seeking a highly organized and detail-oriented Recruiting Coordinator to join our Talent Acquisition team. Supporting a current team of five recruiters, this individual will play a critical role in helping the organization achieve its ambitious hiring goals while delivering an exceptional recruitment experience for candidates and internal stakeholders alike.
This is an exciting opportunity for someone looking to build or advance a career in Talent Acquisition or People Operations. Based in our Portsmouth, NH headquarters, this position follows a hybrid schedule with four days per week in the office and reports directly to the Senior Director of Talent Acquisition.
Your Impact
  • Recruitment Support
    • Partner with recruiters, hiring managers, and candidates throughout the recruitment process to ensure a seamless, positive, and efficient hiring experience.
    • Own the offer process from creation through acceptance, including preparing and distributing offer letters, maintaining offer templates, and ensuring all offer documentation remains accurate and up to date.
    • Serve as a key liaison between Talent Acquisition and Human Resources, facilitating a smooth transition from candidate acceptance through new hire onboarding.
    • Provide recruiting support as needed, including sourcing candidates, reviewing resumes, conducting phone screens, completing reference checks, and assisting with other recruitment activities based on team priorities and hiring volume.
  • Talent Operations & Technology
    • Serve as the primary administrator for Talent Acquisition technology platforms, including Greenhouse, scheduling tools, AI notetaking tools (BrightHire), and other recruiting technologies as they are implemented.
    • Drive continuous improvement of recruiting technology by identifying opportunities to enhance system utilization, implementing new features, and providing ongoing support and training to recruiters.
    • Own and manage the Talent Acquisition inbox, ensuring timely responses, appropriate escalation and routing of inquiries, and a positive experience for candidates and internal stakeholders.
    • Maintain and optimize Talent Acquisition presence across third-party career sites, including LinkedIn, Indeed, Glassdoor, and other employment platforms.
    • Manage Talent Acquisition resources and documentation, including process guides, training materials, vendor information, and standard operating procedures.
    • Ensure all job postings are accurate, compliant, and consistently maintained within Greenhouse and external job boards, partnering with recruiters to support posting strategy and job advertisement management.
  • Candidate Experience & Employer Brand
    • Drive continuous improvement of the candidate experience through feedback collection, reporting, and project management initiatives.
    • Build, maintain, and analyze candidate experience surveys and reporting.
    • Monitor and respond to candidate feedback on external platforms, including Glassdoor and Indeed.
    • Maintain recruitment marketing materials, career site content, and employer branding resources to ensure consistency and alignment with company values.
    • Coordinate candidate travel and logistics for interviews when needed.
  • Projects & Administrative Support
    • Support special projects related to recruiting, employer branding, and cross-functional Talent Acquisition initiatives.
    • Build and maintain strong working relationships with key stakeholders across the organization, including IT, Human Resources, Onboarding, Training, and Operations teams.
    • Provide administrative and logistical support to the Talent Acquisition team as needed, including scheduling candidate travel, coordinating recruitment events, and supporting candidate and new hire experience activities such as sending welcome gifts.
    • Identify opportunities to improve recruiting processes, workflows, and overall team efficiency, and contribute recommendations for enhancements.
    • Track and report on relevant recruiting and administrative metrics on a weekly and monthly basis to support visibility, accountability, and continuous improvement.

  • Experience in similar roles: At least 1 year of experience in a professional environment, ideally in Talent Acquisition, Human Resources, Recruiting Coordination, or Administrative Support.
