Polsinelli is searching for a Legal Recruiting Admin Coordinator to support lateral attorney recruiting and law school engagement for the firm. The Legal Recruiting Admin Coordinator will interact regularly with the Legal Recruiting Team, attorneys, candidates, external recruiters, and be a proactive representative of the firm. A successful candidate will have strong interpersonal, verbal and written communication, time management and organizational skills. Additional skill sets include the ability to exercise sound judgment and professionalism, demonstrated experience working both independently as well as collaboratively as part of a team, and the ability to prioritize workload to manage multiple responsibilities. This position will be in one of the following offices: Kansas City, St. Louis, or Chicago.
CORE RESPONSIBILITIES
  • Support lateral attorney and law student recruiting by entering candidate information, maintaining candidate records and status updates in the applicant tracking system (ViRecruit), and applicable candidate trackers on a daily basis.
  • Coordinate candidate screening and full round interviews, including scheduling and related communications with candidates, interviewers, and external recruiters.
  • Monitor virtual interviews (through Zoom).
  • For in-person/in-office interviews, coordinate conference room reservations, including video conferences, across time zones, and when applicable, greet candidates upon arrival and escort them to the conference room.
  • Draft and distribute meeting invitations for lateral candidate discussions, preparation calls, and other recruiting-related meetings; attend candidate preparation calls, take detailed notes, and prepare draft summaries for review and distribution to relevant stakeholders.
  • Monitor, collect, and follow up on interviewer feedback throughout the recruiting process and maintain accurate candidate status information.
  • Maintain lateral candidate and recruiting matter folders in iManage, ensuring materials are organized and current.
  • Draft correspondence and notifications to support the candidate offer process.
  • Assist with onboarding activities for lateral attorney hires, including coordinating information and communications with candidates and internal stakeholders.
  • Assists the recruiting for and the running of the Summer Associate Program in various offices including, but not limited to, providing support to the Recruiting Committee in assigned office(s), facilitating law school job fairs, scheduling on-campus interviewing, developing relationships with law school career services departments and organizing/attending outreach events to enhance the firm's brand at target law schools as needed.
  • Collaborate with and support the members of the Legal Recruiting team.
  • Conduct research projects and other special assignments, as requested.
  • Maintain a high level of confidentiality at all times.
QUALIFICATIONS
  • Bachelor's degree required.
  • A minimum of two (2) years of legal recruiting experience. Experience with an Applicant Tracking System (viRecruit, LawCruit, or equivalent) is preferred.
  • A minimum of three (3) years in previous law firm (or equivalent professional) experience is preferred.
  • Must have strong proficiency with Microsoft Outlook, Word, Excel, and PDF software (Kofax PDF or Adobe equivalent) and possesses the aptitude to learn other applications as defined by department needs.

The budgeted salary range for this position is $80,000 - $95,000.
